Our Christchurch office and Strategy, Risk & Transactions team is looking for a Personal Assistant to join us.

Reporting to our Partners, this position will see you play a key role in providing comprehensive support to them and to the wider team, to assist with driving and implementing initiatives, as well as diary management and general administration support.

Your typical week will include:

Diary Management
: Proactively manage schedules, anticipate and coordinate travel arrangements, ensure efficient meeting set-ups and swiftly resolve scheduling conflicts.

Pipeline Management: Produce and distribute pipeline reports, generate insights from pipeline data, attend meetings and collaborate with Partners and Managers to maintain an up-to-date pipeline.

Document Finalisation: Review, prepare, and format letters, reports, and other documents to a high standard.

Monthly Client Billing and Reporting: Process invoices and resolve any queries within the billing system, produce financial reports and provide analysis on reports/dashboards.

Resource Management Support: Manage the resource management system and assist with the organization and execution of workflow meetings.

Event Management:
Facilitate the client, team and officewide events and logistics for events and meetings, preparing necessary material and content and ultimately liaising with venues and caterers, managing invites as well as ensuring the event runs smoothly.

Working Collaboratively
: With other PA’s, receptionist and the wider services team, assisting when others are not available or have other priorities, sharing knowledge to ensure consistent processes are engaged across the office.

Previous Experience:
  • Minimum of two years in a comparable role.
  • Professional yet personable demeanor is essential.
Organisational Skills:
  • Strong capability in multitasking and prioritisation.
  • Experienced in managing competing priorities effectively.
Communication Skills:
  • Must be confident and client-focused.
  • Able to build trust and communicate proficiently at all levels.
Technical Skills:
  • Proficiency in Microsoft Office: Word, Excel, Power Point, and Outlook.
  • Higher proficiency in Word and Power Point is particularly desirable.
Growth Mindset:
  • A strong desire for continual learning and accepting challenges.
  • Exceptional attention to detail.
  • Creative initiative use in forward planning is pivotal.
Professional Environment Experience:
  • Prior work experience in a professional services or large corporate setting would be beneficial.
