Programme Coordinator, Information Systems

An exciting opportunity to join NZ Customs as a Programme Coordinator is now available. This role is a full-time permanent position based in our Wellington Customhouse.
We have an opportunity for an experienced Programme Coordinator to provide high-quality and timely administrative support to the Information Services (IS) team. This role would ideally suit someone who thrives in a busy environment with a variety of work, can work to deadlines and has enjoys helping others.

Your responsibilities in this role will include:
  • Working with external provider to manage software license compliance and renewals
  • Assisting IS Managers with financial administration - purchase orders, receipting and allocation of major vendor costs for vendor invoices.
  • Analysing data and gathering requirements. This may be to assist with IT housekeeping and remediation or IS projects.
  • Organising governance meetings, completing meeting minutes and following up on or completing agreed actions.
  • Coordinating the staff on-boarding and off-boarding processes for IS - including security clearances and equipment requests.
  • Working with IS Accountant to ensure month-end and year-end financial processes completed on schedule.
  • Assisting project teams to develop and maintain programme documentation including programme reports, project plans, risk and issue registers and budget tracking
  • Supporting quality assurance activities such as programme controls and audits.
To be successful as Programme Coordinator, the appointee requires the following knowledge, experience, skills, and/or personal attributes:

  • A love of IT and interest in learning new software and systems
  • An understanding of software licensing
  • Experience with financial processes - particularly purchase orders and receipting
  • A focus on business process improvement, problem solving and using your initiative
  • Excellent communication skills, both written and oral, including an eye for detail
  • Proven experience in providing project or programme administration services to a manager and / or team
  • Confidence with Microsoft Office applications
  • Exceptional organisational skills including prioritising and meeting deadlines
  • A genuine commitment to providing a quality service to all customers
  • Excellent relationship management skills, including the ability to engage at all levels of the organisation
  • Ability to work unsupervised and as part of a team.

To join Customs in any role you must be a New Zealand citizen or NZ permanent resident. *
  • This means:
  • a New Zealand Citizen or New Zealand Permanent Resident who has resided continuously in New Zealand for the last 5 years and resides in NZ at time of application; OR
  • a New Zealand Citizen or New Zealand Permanent Resident who has resided in New Zealand for the last 5 years and resides in NZ at the time of application. You may have been absent from New Zealand for periods of six or more months within the past five years, preferably in one or more of the following countries: either Australia, Canada, UK or the USA. You will be required to provide overseas police certificates for these periods spent outside of New Zealand.
You must have a background history that is verifiable and can be assessed as appropriate by the New Zealand Security Intelligence Service towards a recommendation of suitability for security clearance at a higher level. Due to the nature of Customs work, you must have a clear Police record. The successful applicant will also be required to pass a drug test.
