Job Overview:
We are seeking a highly organized and detail-oriented Executive Assistant to support our COO. The ideal candidate will be proactive, professional, and able to manage a wide range of administrative and executive support-related tasks.

The primary responsibility will be to perform administrative duties for the Chief Operating Officer of Modro & Company Builders, Inc. An overview of duties is listed below:
Responsibilities:
  • Manage COO’s schedule and day-to-day activities
  • Provide high-level administrative support to the executive
  • Manage executive calendars, including scheduling meetings and appointments
  • Coordinate travel arrangements and prepare travel itineraries
  • Assist in preparing reports, presentations, and correspondence
  • Conduct research and compile data as needed
  • Manage confidential information with discretion
  • Maintain open communication between the COO’s office and office staff by passing on relevant information to keep the team moving forward
  • Prepare, edit, and file (both hard copy and electronic) documents and email correspondence
  • Identify and resolve any issues or conflicts that may directly impact the company or COO; report and escalate to management as needed
  • Run errands as necessary
  • Be accessible via company phone and check emails during nights and weekends for essential business items per COO direction
  • Function as the point of contact between the executive and internal staff on behalf of the COO
  • Provide quality customer service as the first line of contact with customers
  • Emulate the COO’s business characteristics, servant leadership, and team mentality, acting as a direct extension of the COO
Requirements:
  • Proven experience as an Executive Assistant or similar role (Potentially willing to train a candidate who demonstrates strong critical thinking skills, a business-minded approach, a driven personality, a desire to operate with excellence, and teachability)
  • Proficiency in Microsoft Office Suite (Outlook Calendar, Word, Excel, Power Point)
  • Excellent communication and interpersonal abilities
  • Ability to multitask and prioritize tasks effectively
  • Strong clerical and organizational skills
  • Ability to plan and see the “big picture”
  • Competence in conflict and crisis management
  • Leadership and human resources management skills
  • Excellent time management skills
  • Strong client-facing and internal communication skills
  • Exceptional written and verbal communication skills
  • Ability to communicate effectively with a range of individuals, from staff, laborers, and subcontractors to high-level clients and investors
  • Experience with Google Suite, Adobe Cloud, social media platforms, websites, and other software/app technology is a major plus
  • Solid technical background and proficiency with software, app-based technologies, and smartphones, as all company project management is performed utilizing Buildertrend, MS Excel, MS Office, and other technologies (Previous Buildertrend experience is a plus)
  • Experience in event planning and relationship building is a plus
  • Solid organizational skills, including keen attention to detail and the ability to manage multiple tasks simultaneously
Working Conditions:
The Executive Assistant works both in Panama City Beach, where projects are monitored, and at various construction sites throughout Florida, as needed. Some travel to South Florida with the COO may be required during the launch of new South Florida operations, with more travel initially until operations are fully established. The position allows for remote work from home at times.
The Executive Assistant must be reachable 24/7 to assist the COO as needed.
Physical Requirements:
Must be capable of sitting, standing, stooping, bending, and twisting, and be able to lift up to thirty pounds. Good eyesight and hearing are required.
A Non-Compete and Confidentiality Agreement are required for this position. Side work of any nature is not permitted and will be grounds for immediate dismissal, as detailed in the agreements.

As an Executive Assistant, you’ll assist the COO in managing high-end luxury new home builds and improvements for our clients and investors. You’ll help manage new business relationships in the residential and commercial construction markets throughout Florida. You’ll earn an average weekly income of $865 to $1,269, plus a company profit-sharing plan. You’ll attend weekly team meetings and consistent project management training sessions.
