Accounting Analyst (Fixed Asset)

A. Identification and record-updating of all property and assets including but not limited to land, building and improvements, vehicles, furniture and fixtures, office and computer equipment, medical and laboratory equipment, search and rescue equipment, training equipment, intangible software, and other assets.
  • Prepares and issues accountability form indicating asset description, quantity, date of acquisition, person responsible, property number, serial number, location, chapter
  • Tags all nonexpendable properties and assets both newly purchased and donated assets
  • Encodes property and fixed assets in Fixed Asset system
  • Maintains accurate record and filing of accountability forms, transfer, and disposal of all assets of NHQ Office and all PRC Chapters
  • Conducts physical count of properties and assets annually and reconciles physical count vs list of assets
  • Conducts timely disposal of unserviceable equipment and assets and records write-offs in Fixed Asset system.
  • Checks and validates the clearances re: accountability that may be applied on retirement, resignation, maternity leave, vacation leave, transfer of assignment, and end of the contract
  • Reconciles PAMO list of assets versus Accounting records and investigate variances
  • Provides list of assets quarterly to all NHQ offices and PRC Chapters
B. Assistance in Developing and Implementing Property and Asset Policy
  • Understand the areas on how to streamline the process involving property and asset management in NHQ and PRC chapters
  • Creates and implements improved process flow to address the need for streamlining and other property and asset management concerns, if any.
  • Prepares and aligns physical count procedures with internal and external auditors
C. Focal Person for Audit Requirements
  • Provides documents and schedules required by internal and external auditors
D. Other Tasks
  • Facilitate routine communication to concerned offices and PRC chapters
  • Photocopying, scanning and filing of relevant documents
  • Attend to issues and concerns on property and assets
  • Drafts correspondence like emails, memos and letters
Qualifications/Minimum Education:
  • Bachelor’s Degree in Accountancy, Management Accounting
  • Preferably with at least two (2) years of work experience related to Accounting and Management of Assets
  • Experience in addressing audit requirements
  • Knowledgeable in using Microsoft Office more particularly MS Excel, MS Word, and MS Powerpoint
