We believe service drives success. Our accounting department keeps that company running smoothly by managing cash flow and paying vendors and suppliers. We are searching for a skilled accounts payable specialist to join our accounting team to help process, track, and record payments in an accurate, efficient, and timely manner. The accounting specialist will have both a day-to-day and ongoing impact on financial transactions, keeping us on track, on time, and on good terms with our valued partners
What You'll Do (Daily and Monthly Responsibilities):
- Cross-Department Collaboration: Collaborates with various teams to collect, consolidate, and present financial data using Power BI for insightful reporting.
- Process Improvement: Improves financial processes and reporting efficiency through automation and Power BI integration.
- Variance Analysis: Conducts variance analysis between actual and forecasted financial results, identifying trends and key drivers.
- Accounting Principles: Applies knowledge of general ledger, accounts payable, accounts receivable, and financial reporting in daily tasks.
- Invoice Management: Receives, processes, verifies, and reconciles invoices, ensuring accuracy and timeliness.
- Vendor and Employee Relations: Communicates with vendors and employees to resolve payment issues and update vendor accounts as necessary.
- Expense Processing: Processes travel and entertainment reimbursements promptly and accurately.
- Transaction Monitoring: Monitors and corrects payable transactions by updating Excel templates to analyze data and correct discrepancies in coding.
- Month-End Close Support: Assists in basic accounting month-end close processes, including rent and office supply analysis.
- Journal Entries: Prepares and enters journal entries for cash and accrual transactions.
- Bank Reconciliation: Codes bank transactions to vendor accounts and accounting structures as provided.
- Business Accounts Maintenance: Maintains company business accounts (e.g., Amazon Business, Sam’s Club), enhancing on-site functionality and processes.
- Credit Card Payments: Codes credit card payments to the appropriate departments based on provided documentation.
- Inventory Tracking: Assists operations with tracking uniforms (e.g., shipped quantities, deductions, expected vs. current inventory) and investigates variances.
- Supply Management: Orders supplies and schedules deliveries to ensure the company has sufficient materials and equipment.
- Data Updates: Updates internal databases with order details such as dates, vendors, quantities, and discounts.
- Budget Analysis: Assists in budget-to-actual analysis for facility expenses, upon request.
What You Have:
- Education: Bachelor’s degree in Accounting or Finance, with 3-5 years of experience in Accounts Payable or general accounting.
- Language Proficiency: Fluent in English, both written and spoken.
- Accounting & Finance Expertise: Solid background in accounting and finance principles, with practical experience in AP and general ledger functions.
- Advanced Excel Skills: Proficient in Excel, including financial modeling, data analysis, and report generation; familiarity with Power BI for enhanced reporting.
- Power BI Experience: Intermediate proficiency in Power BI for creating visual reports and dashboards.
- Compliance and Audit Knowledge: Understanding of accounting standards and regulations, with experience ensuring compliance through accurate financial reporting.
- Technical Proficiency: Skilled in computer systems and software, with the ability to quickly learn new platforms and tools.
- Work Environment: Must have reliable access to necessary computer equipment and internet, both at the office and at home.
- Flexibility: Willingness to work beyond regular hours when necessary to meet deadlines or business needs.
