Bookkeeper

Job Summary:
The Bookkeeper will be responsible for recording and maintaining a business' financial transactions, such as purchases, expenses, sales revenue, invoices, payments, and payroll. The bookkeeper will also be working as an Executive Assistant to the CEO.
Key Responsibilities:
Calendar Management:
  • Manage and coordinate the executive’s daily schedule, including meetings, appointments, and travel arrangements.
  • Proactively identify and resolve scheduling conflicts, ensuring the executive's time is used efficiently.
Communication:
  • Act as the primary point of contact between the executive and internal/external stakeholders.
  • Screen, prioritize, and respond to emails, phone calls, and other forms of communication on behalf of the executive.
  • Draft, proofread, and edit correspondence, reports, and presentations.
Meeting Coordination:
  • Prepare agendas, documents, and presentations for meetings.
  • Attend meetings, take minutes, and follow up on action items as required.
  • Coordinate logistics for meetings, including booking venues, arranging catering, and setting up video conferencing.
Travel Arrangements:
  • Plan and book domestic and international travel, including flights, accommodations, transportation, and itineraries.
  • Prepare travel expense reports and ensure timely reimbursement.
Confidentiality:
  • Handle sensitive information with the utmost discretion and confidentiality.
  • Manage and maintain secure records and files.
  • Analyze monthly financial data
Payroll Management
  • Process payroll by calculating employees' salaries, deductions, taxes, and other withholdings.
  • Ensure payroll taxes are filed and paid on time.
Producing Financial Reports
  • Prepare regular financial reports, such as balance sheets, income statements, and cash flow statements.
  • Assist management with understanding the company’s financial position by providing accurate and up-to-date financial data.
Budgeting and Cash Flow Management
  • Help develop and maintain budgets.
  • Monitor cash flow to ensure that the company has sufficient funds to cover operating expenses.
Tax Preparation and Compliance
  • Assist in tax preparation by organizing financial data, providing reports, and ensuring that all financial transactions are recorded properly for tax filing.
  • Ensure compliance with relevant financial regulations and tax laws.
Project Management:
  • Assist in managing and tracking various projects, ensuring deadlines are met and objectives are achieved.
  • Coordinate with other departments to facilitate project completion.
Administrative Support:
  • Manage office supplies, equipment, and other resources for the executive’s office.
  • Process invoices, expense reports, and other financial documents.
  • Perform general administrative duties as required.
Relationship Management:
  • Build and maintain strong relationships with key stakeholders, including board members, clients, and partners.
  • Represent the executive in a professional manner in all interactions.
Qualifications:
  • Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • Experience: Minimum of [3] years of experience as an Executive Assistant or in a similar role.
Skills:
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Power Point, Outlook) and other relevant software.
  • Proficient with Quickbooks
  • Ability to work independently with minimal supervision.
  • High level of discretion and confidentiality.
  • Strong problem-solving abilities and attention to detail.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
Working Conditions:Hours: Full-time, with occasional overtime as needed.
Job Type: Full-time
Pay: Php40,000.00 - Php50,000.00 per month
