Colkin Architecture and Construction is looking for an Admin Assistant to join our dynamic team. We are seeking a highly organized and proactive individual with a strong background in administrative tasks, preferably with sales experience. The ideal candidate will play a crucial role in supporting daily operations, coordinating with clients and designers, and ensuring the smooth progression of projects.
Key Responsibilities:
Scheduling and Coordination:
- Manage and maintain calendars, scheduling appointments, meetings, and project timelines.
- Coordinate with clients, designers, and other stakeholders regarding the progress of ongoing projects.
- Create and distribute minutes of meetings, ensuring all relevant stakeholders are informed.
- Assist in organizing project meetings and follow-up actions.
- Prepare and maintain project reports, documentation, and other related paperwork.
- Compile data for project updates, ensuring accuracy and timely submission.
- Assist in managing client inquiries and communications.
- Support in preparing proposals, sales quotations, and documentation as needed.
- Perform day-to-day admin tasks such as filing, answering calls, and assisting with office operations.
- Bachelor's degree in Business Administration, Office Management, or a related field preferred.
- Minimum 2-3 years of experience as an administrative assistant or in a similar role, preferably in a construction, architecture, or sales environment.
- Proven experience in sales support or working closely with sales teams is a strong advantage.
- Strong organizational and time-management skills, with the ability to manage multiple tasks and meet deadlines.
- Excellent written and verbal communication skills, including the ability to create professional reports and minutes of meetings.
- High level of proficiency in Microsoft Office Suite (Word, Excel, Power Point) and project management software (e.g., Trello, Asana, or similar tools).
- Basic understanding of sales processes, including preparing quotations, proposals, and client follow-ups.
- Ability to coordinate effectively with clients, designers, and various stakeholders.
- Keen attention to detail, especially in documentation and report preparation.
- A proactive, problem-solving mindset with a positive attitude.
- Ability to work independently and as part of a team in a fast-paced environment.
- Strong interpersonal skills and ability to communicate with a variety of people, including clients and team members.
