Alpha Signs is seeking a friendly and organized Administrative Assistant member to join our team in Saudi Arabia. This role is essential for ensuring a welcoming and efficient office environment, supporting both staff and guests.

Job Type: Full-time
Key Responsibilities
- Answering incoming calls to our office.
- Order and maintain office stationary supplies, with logs of daily activity.
- Organize appointments as required and prepare necessary documents, keeping designated employees advised of their daily schedule and ensure availability of facilities, meeting rooms etc.
- Ensure hardware assets are in working order (photocopier, telephones, fax).
- Support supervisory staff in billing and account reconciliation where required.
- Prepare and submit applications, government forms, permit requests etc. for employees.
- Prepare employee documents, passes, licenses and forms for submission to PRO, Staff Travel, and other internal departments for staff as required.
- Complete timekeeping activities such as: input of sick, absence, leave, overtime to ensure accurate records are maintained.
- Compose and dispatch letters, memos and other correspondence. Sort, consolidate and distribute incoming mail items and other documents in an organized and timely manner.
- Prepare documents for distribution to internal and external departments as per department requirements. This includes photocopying, collating, scanning, faxing, laminating, binding etc.
- Maintain an efficient filing system for the department, employees, and ensure logs or standard reports are as per requirements. Ensure information is accurate and up to date.
- Previous experience in an office support or administrative role is preferred.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication skills, both verbal and written, with a friendly demeanor.
- Ability to work independently and as part of a team in a fast-paced environment.
- Proficiency in basic computer applications (e.g., Microsoft Office).
