About the location:
The Four Seasons Resort Mallorca is perched on the spectacular Formentor Peninsula and backed by panoramic vistas of the Mediterranean and the surrounding landscapes, the hotel was originally opened in 1929 within an expansive private estate. Currently undergoing restoration and renovation, this stunning historic property is scheduled to open its doors as a Four Seasons resort in June 2024.
Key Responsibilities:
- Provide administrative support to the F&B management team, including scheduling and correspondence.
- Maintain accurate records of inventory, orders, and vendor communications.
- Assist in preparing reports and presentations related to F&B operations.
- Coordinate special events and assist with logistics for F&B functions.
- Manage filing systems and ensure documentation is organized and accessible.
Our Ideal F&B Administrative Assistant candidate will have:
- Strong Organizational Skills : Ability to manage multiple tasks, prioritize effectively, and maintain organized records, schedules, and documentation related to food and beverage operations.
- Excellent Communication Skills : Proficient in verbal and written communication to interact with team members, vendors, and guests professionally.
- Attention to Detail : High level of accuracy and attention to detail in managing orders, inventory, and other administrative tasks to ensure smooth F&B operations.
- Proficiency in Office Software : Strong skills in Microsoft Office Suite (Word, Excel, Power Point, Outlook) and familiarity with other relevant software or databases used in the hospitality industry.
- Experience in the Hospitality Industry : Previous experience in a hospitality or food and beverage environment is preferred to understand operational needs and challenges.
- Basic Financial Acumen : Understanding of budgeting, invoicing, and expense tracking to assist in financial reporting and analysis.
- Customer Service Orientation : A focus on providing excellent service and support to both internal teams and external clients or vendors.
- Problem-Solving Skills : Ability to think critically and solve administrative issues as they arise to ensure seamless operations.
- Time Management Skills : Proficient in managing time efficiently to meet deadlines and support the F&B team effectively.
- Team Player Attitude : Ability to work collaboratively within a team environment and support the F&B management and staff in achieving their goals.
