What You´ll Do
- Coordinate internship program placement processes and all related activities in Madrid.
- Complete administrative tasks, including spreadsheet maintenance, financial reporting, email, and data entry.
- Manage internship agreements, visa information, health and safety compliance, and other required documentation for participants and host organizations.
- Support the placement process, including conducting pre-placement meetings, interviews, and assessing student´s Spanish and English language level skills.
- Review and assist students with CVs, cover letters, and internship applications.
- Deliver for-credit internship seminars, helping students apply academic knowledge in professional settings.
- Coordinate guest speakers, professional development events, and company site visits.
- Source, maintain, and expand a network of local company partners for experiential learning opportunities.
- Collect and distribute student learning contracts, mid-term, and final evaluations.
- Maintain a database of Madrid internship and community partners.
- Accompany student participants to company visits and networking events, providing support during orientation and excursions.
- Support quality standards and academic excellence for participants in internship programs.
- Accompanies internship student participants to company site visits, networking events, and provides support during internship orientation and student excursions as needed.
- Coordinates and assists with program site visits for CIEE university partners as well as internship providers in Madrid.
- Supports and maintains the highest standards of quality and academic excellence for participants in internship and experiential learning programs. Provide re-entry learning and debrief sessions to CIEE participants.
- Chaperone or accompany students or groups on company visits and/or participate in overnight excursions, in coordination with the Student Life Office team.
- Participate in emergency staff-on-duty telephone rotation as needed.

Working Conditions
The successful candidate will be offered a full-time, 39-hour/week local work contract, paid monthly. Working hours are typically Monday to Friday, from 9:00 am to 5:30 pm. However, as an added benefit for this junior position, CIEE currently offers a flexible schedule on Fridays, allowing you to work from 9:00 am to 2:00 pm. This flex-time concept helps balance the workload during busier "peak periods" throughout the year.
Occasionally, some workdays may coincide with national holidays, such as January 6 or Easter Monday, due to student group arrivals. These days will be compensated for with recovery time. There may also be some evening, Saturday, or overnight excursions, which are likewise compensated for with recovery time.
This junior position is an in-person, student-facing role, requiring you to be based full-time in Madrid. However, the Internship Coordinator is eligible to participate in CIEE's remote work pilot program, while remaining based in Madrid, allowing for a balance of direct engagement with students and partners.
In this role, you will have access to participant applications and other personal student information. As a member of the CIEE team, you may be privy to personal, medical, and academic concerns of participants, and it is essential to respect and maintain the confidentiality of such records. The position is hired with a local contract and follows all local holidays and annual vacation days.

- Fluency in Spanish and English (both written and verbal).
- Bachelor’s degree or equivalent required. Master´s degree preferred.
- Strong communication skills with local stakeholders: Need to have the confidence, interest, and soundness of judgement to provide effective communication with companies and new internship leads.
- Empathic Communication skills with participants: Proven ability to deal calmly with students from diverse backgrounds who are adapting to new learning environments.
- At least three years of working in an in person office team environment and have working knowledge of Spanish culture, history, business practices, and the academic environment.
- Problem-solving skills with meticulous attention to detail and a positive outlook.
- Familiarity with U.S. higher education and experience with U.S. college students is a plus.
- Experience with budgets and financial reporting.
- Organized with good administrative skills and proficiency in Microsoft Office.
- Ability to embrace CIEE’s Core Values (Excellence, Integrity, Respect, Inclusion and Problem Solving) and culture.
- Legal authorization to work in Spain without the need for employer sponsorship.
