Administrative Assistant (Legal Team)

As an Admin Assistant for the legal team at Ascent, you will play a key role in supporting our legal team and Executive Assistant. In this full-time, on-site position, you will handle a wide range of administrative tasks, from event coordination to managing legal documentation. WHAT YOU WILL BE WORKING ON:

Administrative Support for the Legal Team:
- Facilitating the Docu Sign process and updating legal team files
- Providing administrative support during projects
- Supporting NDA management, invoicing follow-ups, and preparing ad-hoc reports
- Assisting with review of commercial items and execution of NDAs with Ascent stakeholders
- Preparing expense reports for the legal team
- Offering other administrative support as needed
- Calendar Coordination: Managing and coordinating calendars for the General Counsel, Vice President, and other senior legal leaders
- Event, Logistics and Travel Coordination: Organizing company events, domestic and international travel arrangements, internal meetings, and team events
- Deputizing for other Assistants: during absences
- Office Management Support: Assisting with office management tasks as needed
YOUR PROFILE:
- Full proficiency in both German and English mandatory (both written and spoken, C1 level)
- 2-5 years of relevant administrative experience, ideally within a legal team
- Vocational degree in commercial education (KV or equivalent)
- Strong skills in Microsoft Outlook, Word, Excel, and Power Point
- Excellent organizational and time management skills
- Strong written and verbal communication abilities
- Ability to handle sensitive information with discretion
- Comfortable working in a fast-paced, international, and team-oriented environment
