Junior Team Assistant (Geneva - Switzerland)
The Team Assistant will be in charge of all tasks related to Drivers' Commission administrative coordination, including the Drivers' Categorisation and processes. The incumbent will provide administrative support to other department projects, including Sporting Commissions and events, as required.Under the authority of both the Executive and Team Assistant and Head of Racing, they will be responsible for providing a permanent support to the Director and the day to day administration for the department.
- Assisting the Sporting Coordinators to set up and manage Commission and Committee meetings, as required, including preparation of agenda's dossiers and minutes.
- Overseeing the travel of Officials
- Managing agenda and travels for CS Director
- Supervising "Event Organisation Agreements" with Sport Coordinators
- Manage external consultants, including contracts, equipment, uniforms and travel
- Manage and update the contacts database
- Manage internal calendars for all events and departmental calendar
FIA Drivers Commission & Driver's Categorisation Committee:
- Planning the meetings (calendar), validating the list of participants with the President of the Commission and the Drivers' Commission Manager
- Attending the meetings (Commission,Committee)
- Preparing and sending the agenda in agreement with the President of the Commission and the Drivers' Commission Manager
- Following up the meeting, drafting and sending the minutes after validation
- Management of the worldwide FIA Drivers Categorisation database: registration of the category application of the drivers, liaising with the Committee for the evaluation of all categories requests until the final decision for each application is settled
- 1-3 years as a Team or Administrative Assistant
- English to a good level of fluency
- French is a strong asset
- IT Tools: MS Office
- Ability to prioritise tasks and work autonomously
- Multitasking ability, while also being flexible
- Discretion when dealing with sensitive/confidential information and data
- Capacity to work in a multi-cultural team and environment
- Interest in motorsport
