What this job involves
Internal point of contact for the department and team
Assist with onboarding processes of new team members
Support on administrative tasks including, but not limited to, meeting room booking, team meetings, track and distribute company gifts/coupons, inventory and tracking of department items and properties, arrangement of trainings, events, etc.
Support in contract preparation, tracking, management
Coordination of contract legal reviews and approvals
Chop application, delivery, preparing, and filing contracts and other documents
Project and payment setup
Track, request, coordinate monthly fee forecast updates for data entry on online company platform per monthly finance and review deadlines; verify actual billing and payment amounts against forecast
Track, obtain, process monthly billing, department and vendor payments, expenses per company policy and financial deadlines
Coordinate and communicate with vendors as necessary
Proactively raise any discrepancies observed for clarification
Demonstrate proficiency in the use and application of all PDS technology and any Client technology as required
Work as part of a team and demonstrate a proactive focus on meeting internal, client, and project requirements in a timely and cost-effective manner
Interested? An ideal candidate would need to have the following desired qualifications that include experience and technical skills:
Required
3-5 years of relevant experience is required
Ability to prepare and track budgets
Highly organized with strong analytical skills
Strong interpersonal skills with an ability to interact with executive level Clients, both external and internal
Organizational skills with the ability to identify and manage priorities
Excellent written and verbal communication skills including good English reading and email writing
Detail oriented
Ability to multi-task and proactively work both in a team and independently
Proficiency with Microsoft Office Suite – Excel, Word, Powerpoint
Willingness to learn and use company digital platforms
Eagerness to assist and support the team
Proactive and takes instruction well
Preferred
Engage confidently with internal and external stakeholders and see things from their perspective.
Are driven to succeed and love achieving challenging goals.
Bring a structured and organised approach to everything they do.
Communicate and collaborate to achieve success.
Thrive under pressure and deal effectively with tight deadlines and high expectations.
