SS&P - Senior Management Coordinator - Linkou

Purpose of the Job:
1. You act as an ambassador for ASML Strategic Sourcing & Procurement, both internally to other departments and externally to suppliers. You support the senior managers in an administrative and organized way, applying proactivity, initiative, discretion and confidentiality, to guarantee an effective and efficient execution of all management support activities.
2. You are the linking pin between your senior manager, your colleagues, and various ASML departments in Asian countries and headquarter in Veldhoven Netherland. You communicate effectively with all stakeholders and identify issues which require action.
3. You manage and take ownership of your work, while demonstrating a strong drive to achieve meaningful results and show determination in face of obstacles. You are able to signal process improvement opportunities and continuously seek for new ways of working in our fast changing environment, to improve the quality of your work deliverables.
Key Responsibilities
1. management workshop, staff and review meeting preparation and participation: to organize and coordinate workshops and management review meetings, including agenda, attendees, facilities, meeting minutes and action items
2. travel management: to arrange and optimize overseas travel (outside Taiwan) of your senior manager, and also other executives’ visits in Taiwan and Asian countries.
3. communication: to function as first point of contact for questions or requests from internal and external parties to your manager. When necessary, to draft / send out meeting invitations, announcements, newsletters, or reports.
4. supplier visits: to arrange ASML visits of suppliers in Taiwan and Asian countries, for ORM / Operations Review Meetings, ERM / Executive Review Meetings, and Supplier Audits
5. Supplier Days / External Events: to host the bi-annual Supplier Days / External Events as S&SC Asia project lead, with related internal stakeholders in Asia and Veldhoven
6. department support: to host department activities to glue the colleagues together, including dl distribution list, new hire coffee talks, monthly birthday cakes, pay day gathering, off-site team building events, year-end Christmas / New Year banquet, etc.
7. management information / slide deck: per request, to make and/or consolidate management information or slide decks from different departments
8. calendar & meeting management: to manage and own the calendar and agenda of your manager.
Key Requirements
1. Bachelor or Master degree. MBA is a plus.
2. Fluent in spoken and written English and Mandarin, with TOEIC > 900
3. 5-7 years work experience in international environment. Experience of executive assistant, department support, or sales support in Fortune 500 companies is a plus.
4. Excellent communication skills, with stakeholders at all levels of organizations, internal with executives, and external with suppliers
5. Excellent knowledge of Microsoft Office 365 / Powerpoint
6. a team player, detail-oriented, tech-savvy, fast learner
7. a proactive and enthusiastic person, take initiative, can-do attitude, and drive for success.
8. able to handle business and personnel matters with absolute discretion and confidentiality
9. could work independently, to identify and solve problems in a timely manner and escalate when necessary.
