Position Overview:
This is a full-time on-site role for a Receptionist at Vitrin Clinic in Başakşehir, Istanbul. The Receptionist serves as the first point of contact for all visitors and callers, delivering outstanding customer service and ensuring smooth administrative support for the office. The ideal candidate will possess excellent communication skills, a friendly demeanor, and strong multitasking abilities.
Main Responsibilities:
- Handle patient check-in using Zoho CRM.
- Greet and welcome visitors in a professional and friendly manner.
- Manage the front desk by answering and directing phone calls promptly.
- Maintain the reception area, keeping it clean and organized.
- Inform appropriate staff members of visitor arrivals.
- Schedule and confirm appointments for clients and staff.
- Handle incoming and outgoing mail, including courier services.
- Assist with data entry, filing, and maintaining office records.
- Prepare and distribute correspondence, memos, and reports as needed.
- Order and manage office supplies and inventory.
- Respond to inquiries from clients, visitors, and colleagues courteously.
- Provide information about the company, its products, and services.
- Resolve customer complaints and issues, escalating to the appropriate person when necessary.
- Operate office equipment such as photocopiers, printers, and phone systems.
Qualifications:
Education:
High school diploma or equivalent; additional certification in office management is a plus.
Experience:
Proven experience as a receptionist, front office representative, or similar role.
Skills:
-Proficient in Microsoft Office Suite (Word, Excel, Power Point, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Customer service-oriented with a professional appearance and attitude.
- Proficient in English and Turkish.
