Bid Coordinator
BIG’s London Studio has experienced remarkable growth and we are currently looking for an ambitious, talented, and well-organised Bid Coordinator to join our team.

As a Bid Coordinator, you will work closely with the Bid Manager and Business Development team to support the acquisition of new business in the UK, Ireland, and the Middle East by supporting the production and delivery of commercial proposals, reviewing consultant proposals, and benchmarking offers for competitive and reasonable fees.

As a Bid Coordinator, you will coordinate a wide range of tasks simultaneously across multiple projects, so rigorous personal organisation skills and keen attention to detail are of critical importance. The role offers great personal development potential in an international, fast-paced, multi-scaled, and highly ambitious creative environment.

You will be working within BIG’s Operations department, reporting directly to the Bid Manager, with a strong working relationship with the Business Development and Legal teams, as well as the global Bidding and Commercial team.

Primary areas of responsibility:
  • Support the Bid Manager and Business Development team by proactively coordinating bids across all stages to ensure deadlines are maintained.
  • Write and produce commercial offers in the appropriate formats (Excel, In Design, etc), and liaise with consultants for the final incorporated bid submission.
  • Edit and proof-read submission documents to ensure accuracy and compliance standards, ensuring proposal documents follow corporate branding guidelines and formatting.
  • Assist with uploading submissions, developing and maintaining a bid benchmark library alongside the wider bid team, and other general bid administration tasks.
  • Support in developing and maintaining new and existing relationships with clients, consultants, and collaborators, assisting in strengthening BIG’s presence in the UK, Ireland and the Middle East.
  • Prepare, coordinate, and produce RFP/RFQ/RFI/PTC submittals, including excel deployment schedules, graphic and written content for proposals, and client interview presentations.
  • Organise, maintain, and update project benchmark rates, deadline calendars, staff-rate averages, and project programmes.
  • Assist in the initial assessment, vetting, and reporting of new potential projects as well as supporting proactive market research.
  • Assist in the preparation of regular status updates on a weekly basis or as needed for the Bid Manager, Managing Director, and Business Development and Legal teams.
We seek a person who has:
  • 1-2 years’ experience within the construction or design industries. Applicants with a keen interest in the business and commercial aspects of the industry may be considered.
  • A solid understanding of architecture, building procedures and urban planning in the UK; experience in the Middle East is a plus.
  • Excellent communication and organisation skills, and a proactive, enthusiastic and self-disciplined approach to work.
  • The ability to work across multiple simultaneous pursuits with limited oversight and produce content independently, often to tight deadlines.
  • Proficiency in MS Office, especially Excel.
  • Experience with the Adobe Creative Suite, ideally a good working knowledge of In Design
  • Excellence in English, spoken and written (fluency in other languages is a plus)

This is a full-time position based out of BIG’s London office. Working together and collaborating in the same space is integral to our culture, so all our staff are expected to work from the office every day.

Salary will be subject to experience and qualifications. Relevant applicants will be interviewed on an on-going basis, as we are seeking to fill this vacancy as soon as possible.

Please note that the salary banding for this role falls below the standard salary requirement (referred to in the immigration guidance as the “general threshold”) for a Skilled Worker Visa (which is currently £38,700). The standard salary requirements do not apply to all applicants for a Skilled Worker Visa, and there are a range of other immigration routes to the UK which an applicant may be eligible for depending on their personal circumstances.
