Your Responsibilities
As the Head of Administration, you will lead our administrative and facilities operations to ensure efficiency, compliance, and high-quality service delivery. Key responsibilities include:
- Facilities Management: Oversee the maintenance, security, and overall functionality of the company’s facilities, ensuring compliance with health and safety regulations.
- Office Management: Ensure that office services, including reception, mail, supplies, and meeting rooms, are effectively managed to support the team’s needs.
- Vendor Management: Negotiate and manage contracts with external service providers, including cleaning, security, maintenance, and office supplies.
- Budget Management: Develop and manage the administration and facilities budget, ensuring cost-efficiency while maintaining a high standard of service.
- Space Planning: Manage office space planning, including seating arrangements, office moves, and space optimization to accommodate business needs.
- Health and Safety: Ensure a safe working environment by implementing and maintaining health and safety policies and conducting regular risk assessments.
- Sustainability Initiatives: Lead efforts to improve the company’s environmental impact, including energy conservation, waste management, and sustainable practices within the office.
- Team Leadership: Manage and develop a team of administrative and facilities staff, fostering a collaborative and customer-focused culture.
- Crisis Management: Develop and implement contingency plans for emergencies and critical incidents, including building evacuations, power outages, and other disruptions.
- Project Management: Lead office improvement projects, renovations, and the setup of new office locations as required.
- Strong leadership and people management skills, with the ability to inspire and mentor the administration team.
- Deep understanding of facilities management, health and safety regulations, and office operations.
- Proven ability to manage budgets and deliver cost-effective solutions.
- Excellent organizational skills and attention to detail.
- Strong problem-solving abilities and a proactive approach to managing workplace challenges.
- Effective communication skills, both written and verbal, with the ability to build relationships across the business.
- A customer-focused mindset, ensuring that the needs of employees are met with high standards of service.
- A minimum of 15 years of experience in administration and facilities management, preferably within a fast-paced environment.
- Proven experience in managing facilities and administration functions for multi-site operations.
- Strong knowledge of health and safety regulations and best practices.
- Experience in managing vendor relationships and negotiating service contracts.
- Bachelor’s degree in Business Administration, Facilities Management, or a related field.
- Experience in managing office relocations and space optimization projects.
- A background in sustainability practices and initiatives in the workplace.
- Project management certification or relevant experience.
- Experience working in a global or multi-location organization.
