Administrative Support
About the Role
We are seeking an experienced and motivated Office Administrator to join our team at a fast growing meat products manufacturer. The successful candidate will play a key role in ensuring the smooth day-to-day operations of the office and providing support to both the sales and administrative functions. This is an excellent opportunity for someone who is looking to build on their existing administrative skills and take on more responsibility with opportunities for further advancement into more senior roles.
Key Roles and Responsibilities
Administrative support
  • Manage office communications, including answering and directing phone calls, greeting visitors, and handling inquiries.
  • Coordinate and oversee the ordering of office supplies, ensuring that stock levels are maintained and orders are processed in a timely manner.
  • Assist with the preparation and processing of sales and purchase orders, using internal systems such as Sage.
  • Maintain accurate records of office activities, files, and documents, ensuring data confidentiality.
  • Provide support to the sales team by assisting with customer queries, invoice processing, and payment follow-ups.
  • Assist with the onboarding of new employees and provide necessary support.
  • Assist with the preparation of presentations and reports.
Operational Coordination
  • Support the planning and scheduling of daily office operations, ensuring that all tasks are completed efficiently.
  • Help maintain office equipment, coordinate repairs when necessary, and liaise with external suppliers.
  • Assist in the implementation and enforcement of office policies and procedures.
  • Collaborate with team members to ensure compliance with industry regulations and office standards.
  • Assist with logistics support for deliveries and driver routings.
Customer Service
  • Build and maintain positive relationships with both existing and potential customers by handling queries and providing information about products and services.
  • Answer and direct phone calls, responding to inquiries and resolving issues.
  • Assist with sales calls to existing customers, process their orders for next-day delivery, and follow up on outstanding payments.
  • Provide basic training to junior staff on customer service and sales procedures, as needed.
Financial Support
  • Assist with basic financial tasks, such as preparing invoices, tracking office expenses, and ensuring accurate record-keeping for budget reporting.
  • Support senior management in the preparation of financial reports, including handling minor procurement and purchasing tasks.
Communication & Teamwork
  • Serve as a liaison between different departments within the company, ensuring smooth communication flow.
  • Support senior management in facilitating communication with external stakeholders, such as suppliers and customers.
  • Work collaboratively with team members to achieve shared goals.
  • Contribute to a positive and supportive work environment.
Qualifications
  • Proven experience in an administrative role, ideally within a sales or office environment.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook), with experience using office management tools such as Sage.
  • Strong communication skills, both verbal and written.
  • Excellent organizational and multitasking abilities, with an eye for detail.
  • Strong interpersonal skills and the ability to work collaboratively in a team environment.
  • Familiarity with financial principles and basic office budgeting is an asset.
Ideal Experience
  • 2+ years of experience in a similar role, with exposure to office management or sales administration.
  • Experience in customer service and handling financial transactions.
  • Prior experience supporting a management team and handling operational or financial reporting is a plus.

Compensation and Benefits
  • Competitive salary and benefits package: £25,000 - £30,000 based on experience
