Curlett Jones Estates is seeking a highly organised and detail-oriented Property Administrator to join the team.
The successful candidate will be responsible for providing administrative support to the Property Manager and ensuring the smooth day-to-day operations of our property management portfolio. This role involves handling tenant relations, property maintenance coordination, lease administration, and other property related administrative tasks.
Key Responsibilities:
Administrative Support:
  • Assist the Property Management Team with daily administrative tasks, including scheduling appointments, meetings, and maintaining property files.
  • Prepare and manage documentation such as leases, contracts, notices, and correspondence.
  • Maintain records of maintenance, tenant requests, and landlord contracts.
Tenant Relations:
  • Serve as a point of contact for tenants, addressing enquiries and service requests in a timely and professional manner.
  • Coordinate tenant move-outs, ensuring all documentation is in order.
  • Facilitate communication between tenants, landlords, leaseholders and the property management team.
Property Maintenance:
  • Coordinate and track maintenance requests, ensuring timely completion of work orders.
  • Schedule property inspections and follow up on repairs or improvements.
  • Collaborate with contractors to obtain quotes, schedule work, and verify project completion.
Lease and Rent Administration:
  • Assist in the preparation and execution of renewal lease agreements and other legal documents.
  • Maintain accurate tenant records, including lease renewals, expirations, and rent changes.
  • Ensure timely rent collection and assist with arrears management, sending reminders and notices as necessary.
Financial Support:
  • Assist with service charge collection, invoicing, and expense tracking for properties.
  • Process and track payments, utility bills, and other property-related expenses.
Compliance and Legal:
  • Ensure properties comply with compliance regulations and property laws.
  • Assist with handling insurance claims, property inspections, and any legal matters related to tenancy.
