POSITION SUMMARY:
Professional and administrative work managing several critical functions of the Office of the Sheriff, including oversight of budget and responsibility for special projects within the Office. Work will require frequent contact with the Sheriff and Chief Deputy. Work involves assisting with the development of the Office's budget, including cost estimates, justifications and testimony preparation. It also includes continual assessment of spending activities to ensure compliance with the budget and recommending adjustments for unexpected costs. Finance functions include ensuring that money deposited to the Office or to be returned from the Office is accounted for appropriately.
CLASS DESCRIPTION:
Performs advanced technical level administrative support work, which may include supervisory responsibility, under general supervision from an administrative or technical superior. Work typically involves administrative support, technical tasks and secretarial work assisting legal staff or an executive level government official. Applies bookkeeping, accounting and data processing principles to accounting and financial record keeping and reporting systems at the advanced technical level. Work at this level may also include independent responsibility for a significant administrative or clerical process.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Process OSHA reports

Liaison to County Finance Department
- Works with Sheriff's staff to ensure moneys received for various activities are accounted for
- Works with Sheriff's staff to ensure that money is refunded appropriately

Liaison to County Budget Department
- Assists Sheriff and Chief Deputy in budget preparation by soliciting input from staff, computing cost impacts, evaluating requests and making recommendations for responsible use of resources
- Assists Sheriff and Chief Deputy in budget submission by submitting budget, assisting with the preparation of testimony, attending testimony in front of the County Council
- Continual review of Office expenditures to ensure compliance with approved budget; periodic meetings with Sheriff and Chief Deputy to provide updates on budget and expenses
- Makes recommendation on budget modifications as unexpected issues/costs arise

Liaison to County Purchasing Office
- Works with Sheriff and Chief Deputy to ensure budgeted items are purchased in manner consistent with County policy
- Provides over sight of PDQ Coordinator's work and overall agency use of the PDQ program
- Works closely with County's SAP system.
- Financial use of Cognos System, review expense reports, liaison/assistant to county auditor for yearly audits.
- Reconciles financial reporting from writ program
- Reconciles financial reports from summons programs
- Sends out returned check letters

Backup/fill in for Sheriff's administrative support positions
Other Functions: - Special projects undertaken by the Sheriff's Office
SUPERVISORY RESPONSIBILITIES:
This job has no supervisory responsibilities.
MINIMUM REQUIRED EDUCATION/EXPERIENCE
PREFERRED EDUCATION, KNOWLEDGE, SKILLS AND ABILITIES:
- Knowledge of basic accounting procedures.
- Knowledge of grant management
- Including but not limited to knowledge of Windows-based word processing, spreadsheet programs, Power Point, Access, Microsoft web-based programs.
- Ability to act as liaison between the Sheriff's Office and other county offices.

- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to write routine reports and correspondence.
- Ability to speak effectively before customers or employees of organization.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
- Ability to apply common sense understanding to carry out instructions furnished in writing, oral or diagram form.
- Ability to deal with problems involving several concrete variables in standardized situations.
