Position Description & Details

Are you a proactive and organized individual with a passion for supporting education and fostering career development? Bismarck State College's Career Academy is seeking a dynamic Office Assistant to join our team! In this role, you will be the welcoming face of our campus, providing essential office support and exceptional customer service to students, parents, and faculty.

Office Support Duties
  • Welcome and Assist: Greet students, parents, and visitors with a friendly demeanor, answering questions and guiding them to the right locations on campus.
  • Mail Management: Distribute incoming mail for BSC faculty within the Career Academy.
  • Faculty Support: Assist faculty and Assistant Deans with various office tasks, including maintaining student databases and handling communications.
  • Daily Operations: Manage daily office functions such as answering phone calls, faxing, copying, and ordering supplies for different departments as needed.
  • Financial Duties: Complete deposits of work order revenue weekly or as directed by your supervisor.
  • Collaborative Assistance: Provide support to the Administrative Assistant to the Dean of CET and serve as backup for the BPS Career Academy Administrative Assistant when necessary.
Miscellaneous Duties
  • Innovative Contributions: Contribute your ideas to enhance processes and functions within the department and the college.
  • Additional Tasks: Perform other duties as assigned to ensure the smooth operation of the office.
Minimum Requirements
  • Associate degree in an administrative assistant program or a minimum of two years of directly related work experience.
  • Excellent knowledge of office procedures, telephone skills, and telephone etiquette.
  • Proficiency in computer software, including Microsoft Office Suite (Word, Excel, etc.), email, electronic calendar, and internet usage.
  • Experience with database management (e.g., People Soft, Campus Connection, Access, etc.).
  • Outstanding interpersonal skills, showcasing positive customer service abilities and the capacity to relate to individuals of varying backgrounds and ages.
  • Strong commitment to confidentiality.
  • Exceptional organizational skills with keen attention to detail and accuracy.
  • Ability to meet deadlines consistently.
Preferred Qualifications
  • More than two years of directly related work experience.
