Position Description & Details
Key Responsibilities:
- Serve as the primary contact for CE customers, providing friendly assistance in person, by phone, and via email.
- Address inquiries, schedule changes, cancellations, and complaints while encouraging customers to consider alternative CE offerings.
- Collect and process registrations, promoting self-registration and providing guidance as needed.
- Accurately enter registration details into CE software and ensure secure handling of customer information in compliance with PCI standards.
- Support the team by ensuring front desk and phone coverage, cross-training, and assisting during staff absences.
- Foster a team environment to ensure every customer interaction is a positive experience.
- Maintain up-to-date knowledge of CE registration software, including changes and new features.
- Ensure demographic data is accurately entered, resolve duplicate profiles, and uphold best data practices.
- Manage payment processing, including registrations, transfers, and refunds, while ensuring compliance with security protocols.
- Monitor database information to maintain high data integrity and security for all non-credit programs.
- Assist with attendance tracking to ensure accurate reporting.
- Process incoming mail, manage cash/check receipts, and distribute items appropriately.
- Assist with filing, maintaining voicemail messages, and posting office signage for special announcements.
- Support promotional efforts by proofreading materials like catalogs, brochures, and website content.
- Order supplies, reconcile department expenses, and maintain accurate inventory.
- Suggest innovative ideas to enhance department efficiency and improve the customer experience.
- Participate in conferences and training to stay updated on best practices and technology improvements.
- Perform other duties as assigned to support CE and departmental goals.
Minimum Requirements
- Appropriate associate degree or three years of directly related work experience.
- Communicate effectively with diverse groups, including individuals who may have language barriers.
- Strong customer service skills are essential as the main point of contact for CE, assisting customers courteously in person, by phone, and via email.
- Ability to manage and monitor multiple communication channels, including phone, email, and in-person interactions, to address inquiries effectively and direct customers to appropriate staff.
- Attention to detail and organizational skills to ensure accurate data entry, payment tracking, meeting deadlines, and audit compliance within the database.
- Must be reliable, present a professional appearance, and maintain an organized, tidy workspace creating a positive impression of the division and college.
- Well-developed skills in Microsoft Office software (especially Word, Excel, and Outlook), and the internet
- Knowledge of data entry best practices, with a commitment to maintaining data integrity, accuracy, and security within the CE registration database.
- Follow and update office procedures and documentation, supporting continuous improvement in processes and customer service standards.
- Ability to proofread material for grammatical and spelling errors.
- Ability to coordinate and handle multiple priorities.
Preferred Qualifications
- More than three years of directly related work experience.
- Experience in a high-volume customer service environment.
- Proven track record of accurate data entry and information management.
- Demonstrated ability to multitask and prioritize effectively in a fast-paced setting.
- Background in a role that required regular collaboration with a team.
