Specialist, Human Resources

The Human Resources Specialist will play a crucial role in supporting the Human Resources function within our organization. This role involves a combination of administrative duties, payroll documentation, HRIS, employee onboarding, and data management. The ideal candidate will have a strong attention to detail, curiosity and continuous improvement mindset, excellent communication skills, and the ability to manage multiple tasks efficiently.
ESSENTIAL Responsibilities
- Input employee changes and adjustments in HRIS. Maintain semi-monthly payroll changes documentation and submit supporting documentation to Payroll each pay period.

Partner with the HR and Payroll teams to ensure accurate and timely semi-monthly payroll, including funding of benefit accounts, ensuring accuracy of automated carrier feeds, and updating external benefit enrollments and changes as needed (WMATA, Parking, etc).

Maintain employee data in relevant adjoining and interfacing systems and ensure the information is complete and accurate.

Partner with the HR team to communicate standards, procedures, and policies.
- Enter and allocate HR and Benefits invoices and expenses into accounts payable system for payment with focus on accuracy and timely transmission of payments and reimbursements.

Assist with day-to-day operations of Human Resources.
- Support accurate and organized employee files, HRIS, and internal databases.
- Provides weekly updates to Finance Department on personnel transactions.

Onboard new hires from accepted offer through Day 1, including transition from candidate to employee in all systems and processes.
- Coordinate pre-hire on-site onboarding with other support and internal departments, including accurate and timely requests for IT equipment, office space, etc. Manage Outlook invitations for semi-monthly orientation presenters, ensuring that presenters are confirmed in advance.

Conduct HR onboarding sessions for new hires, ensuring all necessary documentation is completed on Day 1.
- Manage offboarding process for voluntary and involuntary separations, including preparation of exit letters and documentation, communication with support departments on access changes, and scheduling of exit interviews.
Program Execution and Support

Execute and support various employee engagement programs, including BIO values and rewards/recognition initiatives, ordering gift deliveries for important staff life events, culture committees and programs.
- Work with Facilities and IT teams to secure event space, food/drinks, and tech resources for HR meetings, programs, and initiatives as needed.
- Schedules and manages calendar invitations for HR trainings, events, and recruiting, including ensuring timely RSVPs and adjusting enrollment to ensure optimal attendance and impact.
- Distributes post-training surveys, encourages responses, and collates feedback data for presentation.
Required Background, EDUCATION, and skills
Education and Experience
- Bachelor’s degree in human resources, business, or related field.
- Minimum of 3-5 years of experience in HR and payroll and multiple HRIS/Payroll systems, with ADP experience a plus (Work Force Now).
- HR or Payroll Certifications desirable (SHRM-CP, a PHR/PHR, etc)
Knowledge and Competencies
- Knowledge of applicable employment and pay laws and practices including FLSA, ADA, Workers’ Compensation, FMLA, OSHA, etc.
- Exercises initiative and independent problem solving while having strong intuition for when to escalate matters and questions to senior members of the HR and Payroll teams.
- Works collaboratively within the department and organization.
- Maintains the highest level of confidentiality and handles sensitive materials.
- Strong written and verbal communication skills with an ability to engage stakeholders at all levels.
- Highly organized with attention to detail and an ability to manage multiple projects simultaneously.
- Experience and proficiency with technology tools, including Microsoft Office suite.
- Continuous improvement mindset. Dispassionately examines the work of self and others for improvement.
