Media Relations Administrative Organizer

The client is an established international public relations agency, based in Tampa Bay, Florida. Astute in recognizing industry changes since its launch in 2009, the team utilizes newly established patterns to create timely campaigns comprising traditional and the latest proven media methods.
The purpose of the Media Relations Administrative Organizer role is to streamline and execute media relations administrative activities efficiently, ensuring the media relations team can focus on cultivating journalist relationships, securing impactful coverage, and successfully advancing client narratives. The role involves strategic thinking, process refinement, and proactive adaptation to industry dynamics, contributing to the overall success of client campaigns and fulfilling the agency's objectives.
Rate in USD: $9.0 - $11.0 (per hour)
Responsibilities:
Media Tracking
- Conduct searches on relevant platforms/search engines to identify scheduled client interviews and impending byline stories set for publication.
- Effectively leverage media monitoring services to identify and document client placements secured by the agency, ensuring a thorough and accurate representation of media coverage.

Regularly update the Press Tracker with information on new placements. Log the status of each placement, tracking its progress and impact.
- Ensure that all components within the Press Tracker are consistently updated.
- Ensure that the team and clients have access to real-time data, enabling informed decision-making and understanding of our media outreach efforts.
- Draft tailored emails for media opportunities and placements, ensuring clients are informed with precise key statistics and pertinent publication data.
- Systematically mirroring all email communications related to specific client opportunities to their respective boards/tasks., aligning them with the appropriate phases in both the MRADMIN mailbox and the Project Management System.

Help the Media Team by initiating follow up proactive communication with journalists to ascertain the status of client stories scheduled for publication.
- Monitor the progression of completed interviews and submitted byline articles for when they will be published.
- Implement a proactive approach to follow up on pending publications and journalists to ensure the seamless coordination of scheduled client stories.

Curation and maintenance of the agency's website through the Word Press platform to showcase and update media placements secured for clients.
- This entails the creation/updating and publication of press releases, placements and new stories, that effectively highlight the media exposure garnered for clients.
- In coordination with the Project Manager, daily filing of documents for the Delivery Team, adhering to the agency naming convention and Share Point rules.

Compile Client Status Reports, providing insights into opportunities, placements, press releases, and the progress of ongoing campaigns.
- Compile detailed placement reports derived from Critical Mention, offering an overview of media coverage and performance metrics.
- Develop UPVM reports tailored for selected media outlets, providing insights into the effectiveness of our engagements with key media partners.

Identify and implement enhancements to streamline workflows, ensuring heightened efficiency across the Media Relations Department.
- Ensure proposed changes align seamlessly with the strategic objectives of both the Client Delivery Division and the agency.
- Develop a comprehensive understanding of departmental and divisional requirements, translating them into precise functional requirements for optimized operational processes
