About the Analytical Services Branch
The Analytical Services Branch consists of a team of over 100 staff based in North Ryde and Port Melbourne. We are responsible for conducting chemical and biological measurement on a wide range of samples (including water, soil, food and pharmaceuticals). Performing a diverse range of tests (including elements, nutrients, organic contaminants and microbiological parameters). We provide analytical solutions and technical expertise for a large set of private sector and government clients across the environmental, food and health sectors, enabling them to meet their business, research and regulatory compliance needs. We also work closely with the tertiary education sector in Australia and have a number of international stakeholders.The opportunity

As well as performing the key functions of this role, this position will provide opportunities to train in other administration duties. You will work alongside staff dedicated to measurement science.
Our ideal candidate
The ideal candidate will have:- Demonstrated experience in procurement and store operations, preferably gained from other Commonwealth agencies and/or organisations with laboratory facilities.
- Demonstrated experience in coordinating an inventory system including receiving and issuing of stores, stock takes and inventory control.
- Demonstrated experience in an accounts receivable function including issuing client invoices, understanding of client enquiries and generating debtor documents such as statements in a finance system.
- Demonstrated ability to communicate both orally and in writing, liaise and develop positive inter-personal relationships with suppliers, clients and colleagues.
- Proven skills to use computer based business or accounting systems. This includes experience with Financial Inventory Management Systems and Microsoft products.
- Planning work goals and setting priorities within area of responsibility including the capacity to organise own work and meet own and team outcomes.
- Demonstrated ability to consistently exhibit the NMI values of being adaptable, accountable, innovate, inclusive, influential and strategic. This includes building and sustaining positive relationships with team members and other teams, fostering a diverse and inclusive workplace, leading by example and showing integrity by being honest, transparent and accountable.
- An understanding of manual handling of general consumables and chemical materials. An awareness of chemical material storage plus disposal.
What you will do
The Administration Officer ideally requires demonstrated experience in an administration function preferably with a focus in two key areas. Firstly, on procurement/purchasing, inventory systems and stock control. The role will work closely with laboratory operations and suppliers to ensure the reliable delivery and recording of consumables, chemicals and other items for the laboratory function at Port Melbourne.The second focus of this position is the accounts receivable function that ideally requires an understanding of a client invoicing system. For this function the administration officer will work closely with the Laboratory Services Team, Client Services and Business Development.
Key Tasks Include:
- Undertake the procurement of supplies, minor equipment and store inventory in accordance with established Commonwealth procurement guidelines.
- Maintain the physical stores and Tech One inventory system including receipting and issuing stores, stock takes and ensuring inventory levels are maintained at all times.
- On behalf of NMI liaise with suppliers to obtain quotations and review pricing.
- Client invoicing, client set up plus liaising with clients on general accounts receivable matters such as reissuing of invoices and supplying statements.
- Reception including communicating with Clients, Section Managers, Customer Service and Laboratory Services and directing caller to the appropriate area, as required.
- Provide general administrative support and participate in short term projects to support the administration and laboratory functions.
- Unloading, unpacking, coding and shelving laboratory consumables appropriately in a store area.
- Oversee the proper removal and disposal of chemical/clinical waste, recyclable materials and other waste.
Eligibility
To be eligible for employment in the APS and the department, candidates must be Australian Citizens.
Positions require a Baseline security clearance and successful candidates will be required to obtain and maintain a clearance at this level.

This position is based on site at Port Melbourne or North Ryde and will require manual handling of store items.Application information
