Position Overview:
As Administrative Support III in Brussels, Belgium, you will provide essential, high-level support to our team, contributing to seamless office operations in an international setting. This role requires a tech-savvy, proactive problem solver with a keen eye for detail and a passion for organization and efficiency.
Key Responsibilities:
  • Office Support & Tech-Driven Solutions: Use Microsoft Office Suite and other digital tools to streamline document preparation, reporting, and presentation creation, ensuring accuracy and professionalism.
  • Travel Authorization & Expense Management: Review and process travel authorizations and expense vouchers, ensuring compliance and efficiency with our digital expense management systems.
  • Efficient Correspondence Management: Manage the flow of incoming and outgoing correspondence, ensuring timely distribution and organized record-keeping.
  • Editorial & Document Quality Assurance: Provide editorial support, ensuring materials are polished, precise, and ready for distribution.
  • Meeting & Event Coordination: Plan and execute meetings and events, handling scheduling, venue setup, digital presentation support, and logistics to create smooth and effective gatherings.
  • Calendar Optimization: Proactively manage and optimize multiple calendars, balancing appointments, deadlines, and priorities.
  • Time & Attendance Management: Oversee time and attendance tracking, including digital record management for efficient data and leave tracking.
  • File & Digital Record Management: Maintain up-to-date office files and records, leveraging cloud storage and document-sharing tools to ensure easy access and security.
  • Office Supply Oversight: Track and replenish office supplies to meet team needs without disruption.
  • Visitor Experience & Security Support: Welcome visitors professionally, coordinating as needed with security protocols for guest access.
Qualifications:
  • Proficiency in Microsoft Office Suite (Word, Excel, Power Point, and Outlook) and other office software.
  • Strong organizational and multitasking skills with a proactive mindset.
  • Exceptional verbal and written communication skills.
  • Ability to handle sensitive information with confidentiality and integrity.
  • Previous administrative support experience preferred, ideally in a dynamic or international setting.
  • Capacity to work autonomously and collaboratively within a diverse team.
Additional Requirements:
  • U.S. Citizenship is required for this position.
  • Willingness to work on-site in Brussels, Belgium.
