Job description
As Facility Coordinator you are responsible for the CBRE GWS @ Uber Belgium account. In this role you lead the daily FM operation and you focus on results, customer satisfaction, quality and safety. You ensure that the Uber office is a pleasant place to work, meet and be. You also support the CBRE GWS @Uber team in the Netherlands that manages the Uber EMEA HQ in Amsterdam.
What does your day look like?
You start the day at the office with a good fresh cup of coffee/tea and reading and responding to emails and service requests. You make sure you are prepared for the day. You walk around the building and by talking to Uber employees you see if there are still things that need extra attention. No day is the same and there will often be ad hoc requests requiring time management and organizational skills.
You need to know where your priority is at each moment of the day. Later in the morning you have a meeting with a supplier to discuss the quality of the service. After that, you have to receive visitors for Uber Belgium and make sure they feel welcome and are taken care of. Throughout the day you will also need to solve questions and requests from customers (Uber employees). This can be a question or request about something that needs to be repaired or how they can request a certain item or service at Uber.
You are the person who must ensure that all office malfunctions are solved. It's up to you to judge how a challenge is solved as quickly and efficiently possible.
In the afternoon you talk to one of your local stakeholders who would like to change something about the office. You ensure that all wishes and requirements are clear and you explain how the request/project will proceed. You already take the first actions that are needed at the office.
Later in the afternoon you will work on an information request from CBRE that should be ready later in the week. At the end of the afternoon you work on administration and financial tasks of the account and you report relevant information to the Regional Facility Manager NL-BE. You also discuss the points that you have discussed with the local customer.
In addition, recurring tasks will include:
Responsible for Facility Management Information System (work orders)
Responsible for all financial and administrative tasks of CBRE GWS @ Uber Belgium.
Supporting tasks for the CBRE GWS @ Uber NL team.
Stakeholder management
Responsible for the Uber Snack program
Supplier management.
Working within the financial system of both Uber and CBRE GWS (purchase orders and invoicing)
All customers' questions and requests will fall under your responsibility.
Coordinate with FM Operations and Critical Service teams to deliver service level agreements
Primary focus on delivery of all FM Operations SLA’s in accordance with KPI & Output measurements
