Your key responsibilities:
Your HR duties:
-
Manage all administrative tasks related to the onboarding of new employees as well as the offboarding process for departing employees (contracts, amendments, insurance (dis)enrolments, social and administrative documents, etc.),
-
Regular filing and archiving of HR information
-
Maintain accurate and up-to-date employee records (Belgium and international) in the HRIS systems
-
Ensure the front-line HR presence for general administrative matters and operational follow-up for all personnel management ( sick certificates, work accidents, etc.)
-
Administer benefit programs (BE and other international entities), including enrolment, changes, and claims processing (among others lunch vouchers, healthcare scheme, etc)
-
Manage the administration of educational leave, statutory leave, thematic leave, etc, in order to ensure compliance and data accuracy for payroll
-
Manage incoming employee requests through the ticketing system, assigning them to the appropriate person or responding directly.

Manage the Mobility Platform (Mbrella)
-
Contribute to the elaboration and updates of the various internal documentation (Confluence pages, handbooks, policies, work regulation update, etc.)
-
Contribute to the optimization, digitalization and continuous improvement of HR operational processes in order to guarantee efficient and quality work
-
Offer support to team members in carrying out their tasks and projects
-
Coordinate training activities within SD Worx and the Federal Learning Account, ensuring all training records are maintained and compliance is met.

Provide administrative support for HR operations in Poland, the UK, and the US.

Oversee the follow up on cars orders when this solution is chosen by an employee

Be responsible of deliveries and returns of company cars

Handle fleet mobility policy improvements on social, ecological, and financial aspects, to define an optimal policy

Design and communicate new mobility rules/policies when necessary
-
Oversee the compliance to the fleet mobility policy and manage the extend expertise when needed

Follow up of the offers, orders, fines, accidents, and MOT
-
Bachelor degree in Human Resources or related fields.
-
At least 5 years of experience in a similar role (i.e. : HR Officer/HR administration) combined with 2-3 years’ experience in a multi-country/cultural organization.

Fluent in French and English
-
Excellent knowledge of the Office suite
-
Rigorous and structured
-
Good analytical skills and accuracy

Ability to handle confidential and private information

Tech savvy
-
Knowledge of a fleet management
-
Very detailed way of working
-
Proactive and great team spirit
-
Customer Oriented
-
HRIS knowledge would be an asset
