Your mission

As Office Manager, your role is to ensure a comfortable, healthy and professional office environment for our team. This is a key position that supports our growing team by overseeing all aspects related to Intigriti facilities and by actively fostering a positive, productive and vibrant atmosphere.
With a broad responsibility across office maintenance, travel, health and safety and social activities, you will ensure our team can optimally benefit from our dynamic office environment, holding full accountability and compliance to allocated budgets.

We are looking for someone who can be based out of our head office in Antwerp 5 days per week.

What you’ll be doing

Office management
  • Serve as a POC for office management duties including maintenance, mailing, supplies, equipment, bills, errands, shopping, etc.
  • Organize the office layout and order stationery and equipment.
  • Oversee meeting room booking hygiene and safeguard office concept (quiet room, meeting room cleanliness).
  • Partner with the People team (HR) to update and maintain office policies as necessary.
  • Manage parking and office access rights (and all related tokens, keys, subscriptions, ...).
  • Maintain the office condition to the highest standards and arrange for any necessary repairs.
  • Coordinate with IT department on all office equipment and connectivity.
  • Organize all practical aspects for employee onboarding, offboarding and personal milestones (SWAG, gifts, cards, rooms, ...).
  • Plan in-house or off-site activities, like parties, celebrations, and conferences.
  • Manage contract and price negotiations with office vendors, service providers and office lease.
  • Manage office G&A budget, ensure accurate and timely reporting.
  • Provide general support to visitors.
  • Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements).
  • Liaise with facility management vendors, including cleaning, catering and security services.
  • Manage the budget across both offices in Belgium and London, supporting the London office when required.
Travel management
  • Business owner and operational responsibility of business travel for all Intigriti employees.
  • Ensure central booking through the company travel platform.
  • Validate each travel request against policy, escalate when appropriate to obtain a final decision.
  • Report on the travel budgets for Leadership and Executive team on a monthly basis.
  • Act as emergency contact for our employees abroad and assist in case of emergency or travel complications should they arise.

What you’ll bring

  • Excellent English and Dutch language skills, other languages a plus.
  • MS Office proficiency.
  • Outstanding organizational and time management skills.
  • Up to date with latest office gadgets and applications.
  • Ability to multitask and prioritize daily workload.
  • Excellent verbal and written communications skills.
  • Discretion and confidentiality.
  • A creative mind with an ability to suggest improvements.
  • Experience as an Office Manager, Front Office Manager or Administrative Assistant is a plus.
