Coordinator, Corporate Services
Calgary, ABSalary Range: $50,000 -$55,000/yr
Serving as the first impression at our Head Office in Calgary, the Coordinator in our Corporate Services department will help create a professional environment and culture that enables us to provide exceptional client solutions. As a detail-oriented multitasker, you will complete a variety of broad office admin responsibilities with a strong emphasis on communication and internal customer service. Our successful candidate will be reliable, organized, and demonstrate enthusiasm and a willingness to adapt to working in a start-up environment.
Role & Responsibilities:
- Greet visitors to the office in a polite, and friendly manner.
- Maintain employee access cards and guest passes and log when in use for audit purposes.
- Answer/direct phone calls, send and respond to general emails, manage printing and copying, etc.
- General mail duties: check mailbox, sort and distribute incoming mail and deliveries, arrange, and manage courier shipments.
- Establish and maintain strong relationships with supply vendors and ensure equipment is operational
- Maintain and oversee general office cleanliness at all times
- Oversee standard office equipment and place orders for office supplies as needed for multiple locations
- Maintain boardroom calendars and some scheduling related to our executives’ calendars.
- Coordinate catering orders for client meetings and staff events as requested.
- Assist HR and IT team in getting new hire desks and equipment set up to provide our employees with a smooth and welcoming experience on their first day.
- Assist management team with general administrative tasks such as reporting, editing documents, transferring information, completing online forms, etc.
- You have excellent communication skills, both oral and written
- You demonstrate problem solving skills
- You have strong organizational skills with a high attention to detail
- You are a motivated self-starter with a proactive mindset and confidence to work independently
- You are proficient with all Microsoft Office applications and various technologies
- You have previous customer service, office admin, or front desk experience required
