FACULTY OF HEALTH STUDIES



The Divisional Coordinator is responsible for providing the administrative leadership for the effective coordination of the Dean’s office. The incumbent liaises on behalf of the Dean’s office and maintains close communication with Faculty of Health Studies (FHS) leadership, staff and faculty, other sectors of the college, the executive office, and external stakeholders to assist the Dean’s office with the overall strategy for the faculty including weekly, monthly, and quarterly reporting, proposal writing and general administrative tasks. The successful incumbent will be boldly curious and intentional courageous by interpreting, developing, and disseminate key messages to internal and external stakeholders through various means including newsletters, the weekly Dean’s message, Program Advisory Committees, directly to partners, and other venues on behalf of the Dean’s Office. This position is also responsible for leading internal and stakeholder-related events, including in-person and virtual opportunities. This position demands a high level of organization, creativity, and the ability to set priorities and meet deadlines. The incumbent will have a demonstrated record of utilizing outstanding verbal and written communication skills and highly tuned organizational skills.




Support for the Dean’s Office and Leadership Team

  • Manages Leadership and Management Team meetings (agendas, flow chart calendar, action items, technology, etc.)
  • Manages MS Teams channels for Faculty and Leadership Team
  • Brings emerging operational and communications issues to the attention of the FHS Management Team (Dean, Vice Dean, APMs).
  • Undertakes regular process review and investigation creating special projects that the Management Team has determined due to not meeting standards or having a lack of controls.
  • Creates and advises on increasing channels and opportunities for communication and engagement across FHS.
  • Constructively investigates and brings forward recommendations for unique problems/issues that arise throughout the Division. Briefs the Dean on complex or sensitive issues for direction, and also responds respectfully with that direction back to the incumbent on sensitive issues.
  • Provides advice and guidance to FHS Leadership Team regarding policies and procedures so that they are appropriately followed.
  • Is responsible for organizing and documenting Leadership Team files/folders as well as the security groupings.
  • Reviews, edits, and formats reports and proposals, ensuring that all criteria set out by external stakeholders has been met.
  • Investigates and provides research for key ideas and issues
  • Responds to internal and external requests on behalf of the Dean’s office, gathering information from FHS team members and providing responses according to deadlines and requirements
  • Facilitates and reminds the leadership team of internal and external deadlines


Internal and External Communications


  • Provides expertise to write, edit, proof all correspondence and internal/external reporting for FHS Dean’s office.
  • Contributes to the development and implementation of the division's Engagement and Communications Strategy.
  • Anticipates, writes, and disseminates necessary communications to learners, faculty and staff that promote culture and promote the division internally and externally
  • Assists in communication plans of strategies or messages from the management team
  • Coordinates FHS communication presence in college-wide events and publications such as arranging interviews and profiling FHS initiatives and successes.
  • Coordinates and facilitates the engagement and communication business plans and organizes the divisional social and engagement activities for the faculty throughout the year
  • Responds to inquiries on behalf of the Dean and Vice-Dean
  • Demonstrates positive communication and building relationships with staff in the faculty and across the college to ensure that the FHS Leadership Team is well represented within internal and external contacts
  • Coordinates activities and maximizes communications and administrative support in the faculty


Planning and Coordination


  • Sets up and manages student and faculty town halls (invites, agendas, technology, etc.)
  • Engages alumni for support with events, success messaging
  • Coordinates Divisional key messages for internal and external events including Program Advisory Committees, provincial meeting


SALARY:
$2,078-2700 biweekly reflective upon what you bring AKA your education and experience. This is a full-time permanent position with immediate access to our great pension and benefit programs.
