Working for Shared Services
Established in 2021, Shared Services is a growing unit responsible for supporting the university in its human resources, finance and IST administrative processes. We are fortunate to work with faculty, staff, students, alumni, external vendors and many other third parties.

The Payroll Specialist plays a crucial part in ensuring our faculty, students and staff are paid accurately and on time, while also navigating the complexities of payroll regulations and supporting the semi-monthly, monthly and fiscal year reconciliation, remittance and reporting of payroll and benefit payments. This position is accountable for the integrity and compliance of payroll processing and is considered is a senior subject matter expert in payroll gross to net calculation, taxation and related People Soft functions affecting pay, time & labour, leave processing and benefits
The Payroll Specialist is responsible for monitoring timely calculation of payroll, the verification, reconciliation, balancing and preparation of remittances for statutory deductions, general deductions, pensions and benefits to carriers, agencies or others as required.
Duties
- Responsible for the maintenance and in-depth financial analysis, reconciliation and reporting for all institutional and benefit and payroll liability accounts
- Coordinates and processes payment cycles ensuring that all data is entered in accordance with payroll deadlines, payment processes are executed and that direct deposits and payments are produced.
- Identify and investigate problems or discrepancies between employee deductions and carrier accounts to determine source of error and develops appropriate remedy
- Provide proactive analysis of HCM transactional data, ensuring application of appropriate controls and accounting principles at all times. Question oddities, discrepancies or unknowns and coordinate with appropriate unit(s) for resolution
- Prepare and submit for processing authorized remittance payments, special payment request, general ledger journals, and EFT (electronic fund transfers
- Generate/manage reporting and transactional processing through People Soft HCM & finance
- Responsible for business analysis and reconciliation as related to payroll functional processing.
- Prepares annual reporting reconciliation for both pension plans - PSPP and UAPP
- Responsible for providing information and support for all audit practices as they relate to the institutional payroll and benefits accounts
- Complete preparations for annual tax slip (T4, T4A, T4ANR) production by reviewing year end personal data edits, tax table definitions and earning/deduction code setups and cleaning employee data issues
- Submit requests for Shared Services Finance to create journal vouchers, invoices and payment requests for 3rd party billing, off- cycle charges, benefit carriers, union time-off, internal billings or other transfers as necessary
- Prepare garnishment records and payments
- Ensures all Payroll journals are posted correctly and balance to People Soft payroll
- Bachelor's degree in accounting, Human Resources, or another related field. Equivalent combinations of education and experience may be considered
- 5 years of payroll and/or benefits experience in a large public sector organization. Prior experience with Back-End Payroll will be critical for this role
- Completion of Payroll Leadership Professional (PLP), Payroll Compliance Practitioner (PCP) or other payroll courses. Accounting diploma or certificate would be an asset
- Experience in payroll accounting and financial reconciliation is required
- Familiarity with payroll software and systems especially experience with People Soft HCM is an asset
- Knowledge of Canadian payroll and Alberta employment legislation, Canadian income tax regulations, Record of Employment (ROE) legislation, WCB, Pension legislation and other relevant Canadian legislation
- Strong research, analytical, problem-solving and time-management skills are necessary
- Focus on service excellence in providing responsive service with empathy, respect, diplomacy and professionalism
- Excellent interpersonal skills and the ability to work collaboratively and diplomatically with all others, achieving high quality results in difficult and challenging circumstances
- Excellent written and verbal communication, attention to detail and ability to prioritize work while working under strict deadlines and time constraints
