EA to China CEO

Scope of Role
  • Provide general administrative support to CEO and CEO Office and ensure smooth running of the office. Principle driven and act discreetly in managing confidential and sensitive information and uphold high ethical standard.
Key Responsibilities
  • Provide general administrative support to CEO including but not limited to: Calendar management, key records and files filing, expense claims, office maintenance, G&E registration, maintain gift distribution list for the visits made by the Group Executives and CEO
  • Day-to-day CEO’s schedule management arrange meetings and prepare meeting materials in advance for CEO.
  • Travel arrangements for CEO and Group Executives’ visits, when required. Including but not limited to: End to end travel arrangement; meeting material preparation and any other support on needed basis
  • Arrange and support key activities and projects that would help CEO drive country and business objectives and people engagement, including but not limited to: EXCO offsite, CGM offsite, CEO appreciation event, talent engagement session
  • CEO office coordination – Verify the respective request and support to get CEO’s sign off on documents / ID copy with related departments. Filing all the related application for future audit purpose. Back-up chop holder of SCB China company chop and FI business chop. Maintain a record for CGM/CEO one down’s POA. Maintain the most updated CGM rotation status in Panda system.
  • People related – File and remain the most updated CEO’s JO/ JD / RP/ CV/ OBI. Maintain the most updated EXCO’s JD/ EXCO’s handover letters; RGM’s double hatting approvals.
  • Financial related – Support preparation of budgets and stretch targets, current performance and forecast for the year, cost centre reconciliation report & monthly FCS maintenance.
  • Risk related – Monitor the outstanding risk issues and implications with proposed action plan and responsibility; BCP/DR plans and telephone cascade.
  • Administration related – Daily management of Driver / Keys / Email & Bridge Distribution list / Gifts storage & Distribution list maintenance / Daily Payment / Vendor sourcing when required / Expense & Medical claims / Office maintenance / other CEO personal support if needed
  • Be familiar with company policy/regulations and strictly comply, including but not limited to: T&E, G&E, OBI
  • Build and update CEO contact database to capture relevant information on important contacts for CEO
  • Assist CEO office on internal communication when required
  • Perform other duties when required by CEO

  • Embed Here for good and Group’s brand and values in China; Perform other responsibilities assigned under Group, Country, Business or Functional policies and procedures; Multiple functions (double hats);
  • Understand, acknowledge and comply with the requirements on individual accountabilities and responsibilities of the job set out in applicable local laws and regulations as well as SCB internal policies
  • Effectively ensure and intensify internal controls by keeping abreast with developments of applicable local laws and regulations on accountabilities
  • Perform job duties with diligence, contribute to efforts as an individual or as a team member so as to avoid any actual or potential legal sanctions, regulatory penalties, material financial loss, or adverse reputational impact on the Bank
  • Be responsible for failure to follow relevant rules and processes, failure to properly perform the responsibilities, and implement corrections
  • Cooperate with any investigations or reviews on regulatory failure such as accountability review
Our Ideal Candidate
  • Academic or Professional Education/Qualifications
  • Bank Training, I.E. Mandatory & Developmental – as per agreed development plan with line manager
  • Fluent English and Chinese Mandarin, Presentable
  • Principle Driven and act discreetly in managing confidential and sensitive information and uphold high ethical standard
  • Good Communication Skills and stakeholder engagement manner with internal and external customers, government at all levels
  • Highly organized and meticulous, with an eye for details
  • Systematically Database Management Skills
  • Enthusiastic with a drive to work in a flexible, fast-paced work environment
  • Knowledge of PRC legal and regulatory environment is a plus
Role Specific Technical Competencies
  • Strong planning and organization skills with good ability in identifying and managing different priorities in a dynamic, fast-changing business environment.
  • Solid team player with effective interpersonal and communication skills - able to interact with and engage staff and managers at all levels
  • Able to deliver under tight time pressure, with strong personal drive and willingness to go the extra mile to ensure work is done efficiently together with good quality.
  • Good awareness of business trends in the local marketplace and of the Bank’s priorities across Business and Functions.
  • Strong language skills in both English and Mandarin (verbal and written)
  • Solid computer skills particularly Microsoft Office related software programs.
  • Knowledge of the banking industry in China is preferred; moreover, bachelor’s degree from a reputable university and work exposure to financial data are considered as assets.
