About AMBOSS
AMBOSS is a learning and clinical decision support tool striving to empower physicians across the globe to provide the best possible care. Our founders set out in 2011 to create a tool that they would have hoped to have as medical students and doctors. Since then we have grown to currently operate in 180 countries and have gained immense traction in Germany and the US. Currently, we are pursuing this mission with more than 500+ employees in our offices in Berlin, Cologne, New York, and Cagliari.
You will:
- Manage various calendars and task lists to ensure teams across AMBOSS love the space they work in. For example: meeting coordination, sleeping room bookings, and team/workshop events.
- Oversee maintenance tasks, renovation projects, and security and safety procedures.
- Manage the office supply inventories, placing orders, receiving and distributing items as needed and requested.
- Be present at the front desk, welcoming new joiners, visitors, AMBOSSians and any other guests that make their way through the front door.
- Assist in building an office environment that creates a tasteful yet cozy atmosphere.
- Coordinate daily tasks with your team to ensure priority tasks are completed on time and delegate these tasks when appropriate, as you are typically the person who has the broader view of the day.
- Work closely with the HR and IT team in coordinating orientation week and check-lists for new joiners’ welcome packages and working equipment. This can include packing and shipping of welcome packages, coordinating transport, hotel bookings and leading the office tour.
- Manage your expenses and budgets, mainly ensuring invoices are up to date on our accounting app and filing necessary paperwork.
- Help the kitchen team in distribution of ingredients for the daily cooking of breakfast/lunch and sometimes dinner.
- Manage with the team the snack, drink, and coffee bars, ensuring the areas are kept clean and stocked.
You Bring:
- 1-2 years experience in office management, hospitality (F&B), administration, or retail management.
- Communication - experience of communicating across multiple platforms and being flexible in communication styles - German and English languages
- The ability to stand for extended periods, clean and lift heavy items - relatability to the saying - 'a jack of all trades'
- Confident in Google Mail, documents, spreadsheets, calendars, etc.
- Excellent organizational and time management skills.
- Knowledge of workplace safety
- Adaptive concentration - the ability to divert your focus to something else if it becomes a priority and then having the ability to settle back into the previous task with ease.
