IRFU Senior Event Operations Executive

The IRFU are inviting applications for IRFU Senior Event Operations Executive.
The successful candidate will assist in the coordination of all IRFU events at Aviva Stadium and other designated stadia, ensure that operational activities remain on time and within budget, management of IRFU Facilities, management and implementation of Health and Safety procedures and systems throughout the organisation. The role will also involve the development, implementation and maintenance of quality assurance protocols, coordination and liaison with tenant clubs in the scheduling of fixtures and maintenance of IRFU facilities. This role will require a commitment to work weekends and out of normal business hours at IRFU events during the year.
The position is being offered on a full-time, permanent basis. The role will be based at our Head Office, 10-12 Lansdowne Road, Ballsbridge, Dublin 4.

Post Title: IRFU Senior Event Operations Executive

Role and Purpose of Position:
Assist in the coordination of all IRFU events at Aviva Stadium and other designated stadia
Ensure that operational activities remain on time and within budget
IRFU Facilities management
Management and implementation of Health and Safety procedures and systems throughout the organisation
Develop, implement, and maintain quality assurance protocols
Coordination and liaison with tenant clubs in the scheduling of fixtures and maintenance of IRFU facilities
This role will require a commitment to work weekends and out of normal business hours at IRFU events during the year

Key Qualities:Essential:
4 years’ experience in an operations and facilities management
Proactive, positive and helpful manner
Excellent organisational and communication skills
Event or project management skill set across planning, delivery and review
Strong Administration and planning ability
Implementation of strict budget management
Discretion and Confidentiality
Excellent ability to delegate responsibilities while maintaining organisational control of operations
Valid Driving Licence

Desirable:
Health and Safety qualification
Event and/or Project Management qualification or relevant experience
Experience working in a sporting environment or facility

Responsibilities:
Assist with the coordination of IRFU events at Aviva Stadium and venues across Ireland to the highest standards and established protocols
Collaborating with colleagues and stakeholders in the development and delivery of the Rugby Events. Develop strategic, business and operational plans across Irish Rugby
Assist in the review and delivery of event management plans for all IRFU events
Maintain a positive working relationship with Aviva Stadium Management and other stadia providers
Provide assistance with the production and distribution of all accreditation for IRFU events
Maintain positive working relationships with all the Statutory Agencies and authorities
Liaise with Security providers prior to events
Managing match day operational requirements
Support the management and delivery of broadcast requirements
Supervision of staff and contractors to ensure IRFU events are delivered to the highest standards
In conjunction with the IRFU appointed Health & Safety Consultant ensure that the best health and safety and event control practice are adhered to in relation to all events held by the IRFU
Conduct match /venue debrief meetings and ensure detailed records are maintained
Manage key holding and security of IRFU facilities and properties
Assist with the management and maintenance of IRFU property portfolio with designated contractors
Liaison with IRFU tenant clubs and manage the scheduling of fixtures at IRFU facilities
Oversee all aspects of building operations and maintenance ensuring the facilities are fit for purpose and well maintained
Ensure all IRFU facilities adhere to high cleaning standards with regular inspections and review with the contractor
Maintain and arrange inspection of safety equipment and facilities to meet health and safety requirements and safe operations
Manage building installations, refurbishments and renovations as assigned or required ensuring H&S protocols are adhered to
Management and scheduling of building cleaning contractors
Keep building and all facilities up to standard/code and accurately follow maintenance protocol or direction maintaining accurate records
Run routine maintenance inspections
Monitor interior and exterior areas of IRFU buildings for cleanliness and general conservation
Comply with all current health and safety legislation, policies and procedures
Manage all H&S requirements for the IRFU facilities and properties
Ensure that contractors working at events submit all necessary documentation prior to an event, i.e. insurance details, safety statements and risk assessments to be reviewed by the appointed IRFU Health & Safety Consultant
Coordinate Safety Statements and ensure risk assessments are undertaken by the appointed Health and Safety Consultant for all IRFU Events. Ensure best industry standards are always maintained
Management, security and storage of the IRFU Archive. Respond and manage access request and general queries
Oversee and supervise the operation of the Car Fleet
Ensure you always portray a competent and professional manner
Working on projects as designated by Event Operations Manager
Any duties assigned by the IRFU

Performance Measures

Strict adherence to allocated budgets and ensure best practice in accordance with IRFU procurement policy
Effective management of health and safety at events and within all IRFU operations, ensuring full compliance with Health and Safety Legislation and best practice is applied
Develop and maintain effective relationships and communication channels with key stakeholders
Adopt best practice in the management of IRFU Facilities and in particular compliance with Health and Safety Regulations across Irish Rugby

The successful candidate must be eligible to live and work in Ireland.
