Part Time Receptionist/Administrator

Atlantic Flight Training Academy are currently recruiting for a part-time Receptionist and Office Administrator to join the team.
The position will suit an individual with at least 1 – 2 year’s experience as a Receptionist and Office Administrator in a busy environment. The successful candidate will primarily be responsible for being the first point of contact for all students and customers of AFTA and for providing administration support across all areas of the academy.
The working hours for this position are 1pm – 5pm, Monday to Friday.
MAIN RESPONSIBILITIES:
  • Managing all incoming calls and responding to enquiries into the main information email address.
  • Managing the incoming and outgoing post, including maintaining an appropriate level of postage stamps and signing for all deliveries
  • Meeting and Greeting visitors – providing tea / coffee where appropriate
  • Managing bookings for the boardroom and classrooms as required
  • Organising travel and hotel arrangements for staff going to seminars, meetings etc., as required
  • Completing stationery and stock orders and ensuring appropriate levels of stock are maintained for the whole company.
  • Controlling and issuing ID cards to all new staff and students
  • Selling vouchers over-the-phone and at the reception desk
  • Providing admin support for office staff, management & instructors i.e. diary and meeting management, scanning, copying, uploading of forms / manuals etc.
  • Responsible for canteen management i.e. purchasing canteen essentials, ensuring supplies are adequate and topped up (e.g. tea/coffee/sugar) and regular cleaning of the canteen
  • Organising and scheduling student work experience
  • Managing the petty cash
  • Organising and collecting catering for visiting VIPs / Meetings / Open Day’s as required
  • Acting as PA to the CEO as required
ESSENTIAL KNOWLEDGE / SKILLS / ABILITIES / QUALIFICATIONS:
  • A minimum of 1 – 2 year’s receptionist and administration experience essential
  • Excellent level of PC skills required. Must be proficient with Microsoft, email, PC systems, Phones, the internet and other IT systems
  • Fluent English speaker
  • Must have the right to live and work in Ireland
  • An interest or previous experience of working with students and / or within the aviation industry would be an advantage but not essential

Job Type: Part-time
Expected hours: 20 per week
Schedule:
  • Monday to Friday

  • cork airport: reliably commute or plan to relocate before starting work (required)
