Job summary:
Tuath Housing is seeking a dedicated Rents Operations Coordinator to join our Finance team. The Rents Operations Coordinator will play a critical role in ensuring accurate and efficient management of rent-related financial transactions, bank reconciliation, tenant refunds, and various accounting duties. The successful candidate will be detail-oriented, highly organized, and capable of working in a dynamic environment.
KEY RESPONSIBILITIES:
Administration
1. Bank Transactions:
Upload daily bank transactions into the accounting system.
Reconcile bank statements and ensure accuracy.
2. Rent Reconciliation:
Perform unclaimed rent reconciliation and reallocation.
Process tenant refunds for Tuath and Torc properties.
3. Prepaid Tenants:
Identify and resolve pre-paid tenant accounts.
Ensure proper processing and recording of pre-paid rent.
4. Payment Methods Maintenance:
Maintain payment methods and gateways, including Payzone and the website.
Ensure payment methods are up to date and functional.
5. Tenant Statements:
Issue quarterly rent statements to tenants.
Address tenant queries and concerns promptly.
6. Council Queries:
Follow up on all remittances and queries from local councils.
Provide necessary documentation and support to resolve issues.
7. Recharge Processing:
Charge and process recharges as required.
Maintain accurate records of recharge transactions.
8. End of Month Reporting:
Generate end-of-month reports for Finance, including reconciliations and KPIs.
Ensure timely and accurate reporting.
9. AIB Bank Communication:
Maintain regular contact with AIB Bank to resolve any banking-related queries or issues.
10. All other duties associated to accounts receivable associated to rent collection and the processing of any tenant lead transactions.
Requirements:
Suitable candidates will have a Certificate/Diploma and excellent skills in Microsoft Office.
At least one years' experience in a similar environment.
Excellent administrative skills and ability to produce Pivot Tables, spreadsheets, presentations, and memos.
Excellent communication, interpersonal and relationship-building skills.
Ability to work effectively as part of a team and independently.
Good organisational and time-management skills.
Ability to handle sensitive and confidential information.
Commitment to working in a customer-focused and solution-oriented manner.
To participate on forums/working groups/committees as required.
Carry out any other reasonable duties as may be required from time to time.
