The Service Administrator will be responsible for the administrative support to our Service and Sales teams based in Ireland to manage the scheduling, purchasing, distribution and stock control of our products/services. The role holder will have responsibility for quality, process and the high standards our customers expect.
Requirements
- To act as the first point of contact for all incoming calls and external visitors
- Plan, deliver & schedule all Generator and Air Systems servicing and OFTECS liaising with procurement companies, sub-contractors, Clients & Site Engineers.
- Order in Consumables for all Service calls, ensuring correct parts arrive in the depot or on site on time.
- To support the Scheduling Team ensuring efficient delivery of Site visits and to maintain Engineer schedules ahead of time.
- Monitor and follow-up on outstanding remedial quotes to close out with clients as required to obtain a PO to plan alongside PPM’s.
- Work alongside Technical & Operational personnel to find innovative solutions to ensure continued improvement of effectiveness of planning & Generator.
- Service Contract Margins.
- Monitor respective sales/service emails during periods of absence and annual leave.
- Assist in the preparation of bids and tenders, collating all relevant technical and health and safety data to ensure accurate and timely submission in a printed and bound format.
- Complete RAMS for each Service visit, raise Purchase Orders to suppliers & sub-contractors, Quotes for all Generator Service requirements.
- Responsibility for all administrative support of the Service Team.
- Knowledge of site requirements & layouts, Government & data-centre security processes & e-permit systems.
- Assist in the raising of quotations for Service Contracts & promote any crucial parts not included as part of the Service Contract to Clients.
- Liaise with the Service Contracts Sales Team and highlight any areas where cost improvements need to be reviewed.
- Support the Contract Administration Team to ensure all relevant information is issued in the hand-over of new Contracts.
- Collate monthly expense reports and receipts to provide to the Accounts department monthly.
- Collate and manage all annual leave requests for Service Engineers.
- To maintain and update the service and sales database to ensure all data held is correct and relevant.
- Prepare and maintain the AVK product information library and quote templates.
- Assisting with sales enquires and process orders for our relay section, providing accurate pricing ,shipping costs and invoices to customers.
- Log all relay items returned for repair or replacement, reporting where necessary on reason and outcome i.e. replacement, refund.
- Undertake a monthly stock check on all relay products
