We are seeking a dynamic and experienced Global Travel Coordinator to join our team and play a pivotal role in optimizing our global travel processes. Job Responsibilities:
- Coordinate and manage all aspects of employee travel, including flights, accommodations, and ground transportation, ensuring smooth and efficient arrangements.
- Manage the company’s travel management system to provide a streamlined booking experience and track travel compliance and expenses.
- Negotiate and secure favorable rates with travel vendors and suppliers, optimizing travel budgets.
- Oversee all aspects of the company’s reimbursement process, ensuring end-to-end accountability and timely payments.
- Guide and support employees on travel booking processes, reimbursement policies, and safety guidelines.
- Enforce compliance with company travel policies, budget constraints, and safety protocols.
- Liaise with travel agencies and vendors to build strong relationships and secure high-quality service for corporate travel.
- Provide real-time support for travelers, managing and resolving issues or emergencies that may arise during trips.
- Partner with the Finance department to ensure accurate and timely travel expense reporting.
- Collaborate with various departments to align travel requirements with business objectives and budget constraints.
- Plan and coordinate company offsite events by researching and sourcing suitable destinations, identifying venue options that meet event requirements, and negotiating with hotels and other vendors to secure competitive rates. Ensure all logistical needs, including accommodations, meeting spaces, catering, and transportation, are arranged within budget while adhering to company policies and standards.
- Monitor travel trends and industry developments to identify and recommend cost-saving initiatives and improve travel processes.
- Stay informed on industry best practices and regulatory changes to enhance the travel program's efficiency and compliance.
Requirements
- 3+ years in a Travel Coordinator or related role, ideally within a global, high-tech or corporate environment.
- Proficiency in both written and spoken English.
- Strong organizational and multitasking capabilities.
- Excellent communication, negotiation, and relationship-building skills.
- Proficiency in travel booking software and tools.
- Keen attention to detail and problem-solving abilities.
- Independent, adaptable to a multi-interface environment, and able to manage unplanned events or disruptions.
- Willingness to work irregular hours, as needed by travel demands.
