Customer Service Intern - Temporary Position - Milan, Italy

Are you ready to launch your career in customer service? We are seeking a dedicated and proactive Customer Service Intern to join our team in Milan. This temporary position is crafted to support our existing Customer Service function, providing an invaluable opportunity to gain hands-on experience in a professional setting. In this role you will be responsible for quoting, maintenance renewal reviewing & capture, holiday cover and overall order processing.
As a Customer Service Intern, you will play a pivotal role in enhancing our customer service operations. Your contributions will directly affect the efficiency and effectiveness of our processes. By identifying and implementing process improvements, you will help streamline our operations, ultimately leading to increased customer satisfaction. Your ability to provide holiday cover ensures continuity in service, while your involvement in order processing and quoting will contribute to the accuracy and reliability of our services. Your fresh perspective and proactive approach will be invaluable in driving our customer service excellence.
Key Responsibilities:
- Quoting: Supporting the sales teams` requests and day-to-day activities by supplying quotations for all of our products directly to customers. On occassions you may need to provide these to the KAMs directly.
- Maintenance Renewal: Effectively manage and monitor our customer support renewal status and ensure they are re-quoted and processed to renew support contracts without expiry of the existing support.
- Order Processing: Processing all orders as required in a timely manner, providing the customer with confirmation of both receipt and processing of the order.
- Process Improvement: Support the Customer Service team in consistently enhancing processes. Identify more efficient and effective methods of work, document these processes, and make them manageable for future implementation. Assist in streamlining and optimizing existing Customer Service tasks.
- Office Admin: Supporting the Team with administrative tasks for the optimal functioning of the office as required.
- Reporting & Documentation: Maintain detailed records of customer interactions and transactions, including enquiries, complaints and action taken. Support the business by providing monthly reports as required. (Excel and Power Point reporting mainly)
- Customer Interaction: Respond to customer enquiries via phone and email in a timely and professional manner.
- Issue Resolution: Assist in resolving customer issues by providing accurate information, troubleshooting, and escalating complex cases to senior team members as and when necessary.
- Holiday Cover: Provide essential support during team members' holidays to maintain seamless service delivery.
- Language Proficiency: Fluent in both Italian & English. Additional fluency in German is highly advantageous.
- Computer Literacy: Proficient in MS Office Suite, with a strong emphasis on Excel and Power Point.
- Communication Skills: Exceptional verbal and written communication abilities.
- Interpersonal skills: Excellent interpersonal skills with a customer-oriented mindset.
- Work Ethic: Ability to work independently as well as collaboratively within a team.
- Organizational Skills: Strong organizational abilities and keen attention to detail.
- Time Management: Effective multi-tasking and time management skills.
- Additional Experience: Working knowledge of Salesforce.com or case handling is an advantage.
- Right to Work in the EU: You must possess a valid right to work in the EU.
- Commute: You must be able to commute to the office based in Milan, therefore living in the vicinity of Milan is essential.
- Practical Experience: Engage in managing customer interactions, resolving enquiries, and contributing to process improvements.
