About Us: QBNL is an innovative trading startup based in the Netherlands. We are at an early stage of growth and are seeking a versatile and dedicated Office Administrator to support our dynamic team. This role is critical to ensuring the smooth operation of our business functions.
Job Description:
Position Overview: The Office Administrator will play a pivotal role in managing our administrative, financial, and secretarial tasks. The ideal candidate will be organized, detail-oriented, and capable of multitasking in a fast-paced startup environment. This position offers an excellent opportunity to grow with the company and take on increased responsibilities as we expand.
Key Responsibilities:
Administrative Support:
  • Manage day-to-day administrative tasks, including scheduling meetings, managing calendars, and handling correspondence.
  • Organize and maintain office files, both electronic and physical.
  • Assist in the preparation of reports, presentations, and other documentation as needed.
  • Coordinate office activities and operations to secure efficiency and compliance with company policies.
  • Provide support for various projects and initiatives as required.
Finance Support:
  • Assist with basic bookkeeping tasks, including accounts payable and receivable, invoicing, and expense tracking.
  • Prepare and maintain financial records and reports.
  • Support the finance team in budget preparation and monitoring.
  • Reconcile bank statements and manage petty cash.
  • Assist with payroll processing and ensure timely payment of employees.
Secretarial Duties:
  • Serve as the first point of contact for recruitment partners, stock exchanges etc: managing inquiries and directing them appropriately.
  • Handle confidential information with discretion and maintain the highest level of confidentiality.
  • Arrange travel and accommodations for staff and visitors.
  • Support the preparation and distribution of meeting agendas and minutes.
  • Manage office supplies and inventory.
Qualifications:
  • Proven experience in an administrative, finance, or secretarial role, preferably within a startup or trading environment.
  • Excellent organizational and multitasking skills.
  • Strong attention to detail and problem-solving abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Power Point) and familiarity with accounting software.
  • Ability to handle sensitive information with discretion.
  • Strong communication and interpersonal skills.
  • Fluent in English; proficiency in Dutch is a plus.
  • Bachelor's degree in Business Administration, Finance, or a related field is preferred but not required.
