About Us: QBNL is an innovative trading startup based in the Netherlands. We are at an early stage of growth and are seeking a versatile and dedicated Office Administrator to support our dynamic team. This role is critical to ensuring the smooth operation of our business functions.
Job Description:
Position Overview: The Office Administrator will play a pivotal role in managing our administrative, financial, and secretarial tasks. The ideal candidate will be organized, detail-oriented, and capable of multitasking in a fast-paced startup environment. This position offers an excellent opportunity to grow with the company and take on increased responsibilities as we expand.
Key Responsibilities:
Administrative Support:
- Manage day-to-day administrative tasks, including scheduling meetings, managing calendars, and handling correspondence.
- Organize and maintain office files, both electronic and physical.
- Assist in the preparation of reports, presentations, and other documentation as needed.
- Coordinate office activities and operations to secure efficiency and compliance with company policies.
- Provide support for various projects and initiatives as required.
- Assist with basic bookkeeping tasks, including accounts payable and receivable, invoicing, and expense tracking.
- Prepare and maintain financial records and reports.
- Support the finance team in budget preparation and monitoring.
- Reconcile bank statements and manage petty cash.
- Assist with payroll processing and ensure timely payment of employees.
- Serve as the first point of contact for recruitment partners, stock exchanges etc: managing inquiries and directing them appropriately.
- Handle confidential information with discretion and maintain the highest level of confidentiality.
- Arrange travel and accommodations for staff and visitors.
- Support the preparation and distribution of meeting agendas and minutes.
- Manage office supplies and inventory.
- Proven experience in an administrative, finance, or secretarial role, preferably within a startup or trading environment.
- Excellent organizational and multitasking skills.
- Strong attention to detail and problem-solving abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Power Point) and familiarity with accounting software.
- Ability to handle sensitive information with discretion.
- Strong communication and interpersonal skills.
- Fluent in English; proficiency in Dutch is a plus.
- Bachelor's degree in Business Administration, Finance, or a related field is preferred but not required.

Job Type: Full-time
Pay: €3.000,00 - €3.600,00 per month
Ability to commute/relocate:
- 1016 XK Amsterdam Centrum: Reliably commute or planning to relocate before starting work (Preferred)
- Bachelor's (Required)
- office management / HR / secretarial / accounts: 1 year (Required)
