As a Junior Project Management Officer, you’re the right hand of the project manager, and managing the project administration of some of our clients is what you do best. You make sure that all projects are administered in the right way in our tools and systems, check booked hours, and support the invoicing process. Being this smooth isn’t everyone’s strong suit — but you’re not everyone. You need to be a proactive thinker who enjoys problem-solving, communicating with non-financial stakeholders, and being a team player.
KEY RESPONSIBILITIES
We are looking for someone who is able to:
- Be the right hand of the project manager within the client service teams of different projects/clients where you monitor budgets, planning, and processes and keep track of the progress of the overall project.
- Oversee the PMO activities and prioritization of tasks and able to coordinate these between multiple teams
- Be the central point of contact for the internal key stakeholders across the project/clients.
- Manage the project administration in our DEPT® Apps project administration for your clients. This includes creating projects, adding orderlines in line with signed contracts, attaching signed contracts/PO documents to the orderlines and adding budgets in DA
- Challenge existing ways of working, and implement improvements where necessary.
- Be responsible for the invoicing process on your clients (create (credit) invoices, review & approve invoices and follow up on overdue invoices)
- Keep track of client team templates – hour pacing, finance sheet, and spend tracker.
- Create intercompany order lines and budgets;
- Check over-/underrun and false bookings on projects, supplier invoices, and costs – as well as assist with the monthly invoicing and closing process.
- Perform weekly checks on missing hours, rebook internal hours and false intercompany bookings
- A critical mindset: You consistently strive for improvement and are open to new ideas and perspectives.
- A results-oriented approach: You are driven by achieving goals and possess strong analytical skills to provide valuable insights. You always keep the project objectives in mind.
- Practical and hands-on mentality: You are proactive and take initiative to get things done. You are also an effective communicator, effortlessly conveying information and ideas.
- Fluent in English
- Preferable experience in project administration
- Ability to work independently and in a team
- You are confident and assertive in expressing your ideas and opinions.
- Quick grasp of tools like Salesforce or other project management tools
