We’re looking for a proactive, driven new colleague as Team Assistant to join us on our adventure in Amsterdam. You’ll be part of a young, dynamic, Dutch team, working alongside colleagues from all over the world. You’ll report directly to one off the Regional Directors from the Asset Management team in the Netherlands.

The colleague we’re looking for will be a supportive and solid multi-tasker, with superb interpersonal skills and an irresistible drive to get things done. You’ll be the glue that holds our Asset Management team together, lending administrative support where it’s needed, handling the day to day, and doing what it takes to keep our show on the road. You’ll support managers with administrative and office tasks so they can focus on their core responsibilities.

As our Team Assistant, you’ll make sure contracts and rental agreements are prepared and our archive is accurately maintained. You’ll keep agendas running smoothly and plan and prepare meetings and presentations, all while dealing with emails, phone calls and supporting Asset Managers in their day-to-day activities. What you’ll do
  • Support the Asset Management team day to day to effectively execute their daily requirements. You’ll proactively assist in business planning and organizing, planning, and prioritizing work
  • Draft in-house commercial approved leases in line with Heads of Terms and associated documents is your main priority
  • Arrange internal and external meetings and agendas for the team. You’ll stay on top of what’s happening when, and you’ll be sure that rooms are booked and ready
  • You’ll work on a daily basis with team assistants in your teamto align ways of working and communication and share knowledge to further as an organization.
  • Continuously review operating practices and procedures. You’ll be able to spot and act on opportunities to improve things like governance, reporting, procedures, and agenda planning.
  • Process commercial leases and supporting documents for signature using Docusign
  • Prepare completion summary for inclusion in our property management system, Yardi Voyager
  • Track and record vital lease dates and information within our core systems
  • Prepare formal letters and notices

What you’ll bring
  • Knowledge or experience in legal, secretarial, lease administration, property management, or other related disciplines. Although not essential, it is preferred
  • Your great team energy. You’re a hands-on self-starter who works confidently and independently, and you also collaborate well with others.
  • A high degree of organizational awareness. You know what it takes to get things done. Nothing stays on your to-do list for long.
  • Your technology skills. Strong preference for experience with Yardi Voyager, Salesforce and / or Docu Sign. You’re also competent with MS Office (Outlook, Excel, Word and Power Point)
  • Language skills. This role requires you to be fluent in Dutch and have an excellent command of English, both spoken and written
  • Being able to think three steps ahead. You can link different activities and understand how they influence and are dependent on one another
  • Your positive, proactive, can-do attitude and problem-solving skills. You create order in a hectic and dynamic environment. Keeping things running smoothly not only comes naturally to you, but you also know how to have fun doing it!
