Te Haeata/The Opportunity
The Processing Officer - Civil and Family Services plays a critical role as part of the wider Civil and Family Services group in District Courts in Auckland. The Processing Officer will report to a Team Leader and undertake functions and activities that will ensure the timely processing of applications and documents for the region. By developing a clear understanding of the procedures and functions of the wider Civil jurisdiction and Family Court the Processing Officer will ensure all necessary steps to deliver effective case progression and disposal are delivered. This will include identifying and escalating urgent matters to the Team Leader in a timely manner.
The Processing Officer will receive and enter information into CMS ensuring this is accurate and generate documentation as required. All documentation and applications will be processed and generated in accordance with operational policy and legislative provisions. Working within clear parameters, the Processing Officer will also ensure all financial administrative tasks are managed appropriately with all fees receipted and banking processed each day.
The Processing Officer may also work to support other teams within the wider Civil and Family Services Group.
A Processing Officer holds the Statutory Authority of a Deputy Registrar granted under the District Courts Act 1947 and / or the Judicature Act 1908 and exercises a range of powers and functions under that authority.

To be successful, you will need to be:
Case Management and Document Processing
  • Proficiency in accurately processing enquiries, applications, and case documents.
  • Ability to generate and manage legal documents such as orders, summons, warrants, and notices.
  • Experience with case file preparation using standardized formats and maintaining detailed records in the Case Management System (CMS).
Document Production and Hearing Preparation
  • Proficiency in producing court-related documents promptly and ensuring they meet policy standards.
  • Ability to prioritize and update documentation required for hearings and respond swiftly to urgent requests.
Administrative and Support Skills
  • Strong organizational skills for managing mail distribution, filing systems, and daily notifications.
  • Ability to provide timely support to court processing teams, including data entry and maintaining audit-compliant filing systems.
  • Experience in liaising with court staff and managing case documents to facilitate smooth transmission for hearings.
Database Management
  • Proficiency in maintaining and updating databases essential for case management, such as CMS and Tenancy Case Management systems.
Team Collaboration and Communication
  • Ability to contribute to team effectiveness through constructive feedback, support, and active participation in team discussions.
  • Flexible and responsive approach to work priorities to ensure efficient workflow management.
Relationship Management
  • Strong relationship-building skills to maintain effective networks with key stakeholders, including counsel, service providers, and court staff.
  • Ability to implement a service-focused approach, ensuring timely and quality-oriented interactions.

Utu ā-tau/Salary
The remuneration band for this role is $54,343 to $74,416 – while the appointing salary will be based on skills and experience, we are willing to pay higher in the band to attract strong candidates into this role.
