Manager Finance and Administration

Islamic Aid Pakistan is seeking a highly skilled and experienced Manager Finance and Administration to join our team in Lahore. The ideal candidate will have a minimum of 3 years of relevant experience working in finance and administration, preferably within an NGO setting, with a strong background in financial management, project accounting, and administrative oversight. This role requires exceptional financial acumen, meticulous attention to detail, and the ability to efficiently manage administrative tasks to support the organization's mission.
Key Responsibilities:
1. Financial Management:
  • Maintain accurate financial records, including bookkeeping, accounts payable and receivable, and general ledger entries.
  • Prepare and present financial reports, including monthly, quarterly, and annual statements.
  • Ensure compliance with financial policies, procedures, and regulatory requirements.
  • Assist in budget preparation, monitoring, and variance analysis to support effective financial planning and management.
  • Oversee financial operations, including cash flow management, banking transactions, and fund transfers.
2. Project Accounting:
  • Manage the financial aspects of projects, including tracking project expenses, budget allocation, and financial reporting.
  • Collaborate with project managers to monitor project budgets, expenditures, and financial performance, ensuring adherence to project-specific financial guidelines and donor requirements.
  • Prepare accurate and timely project financial reports for internal and external stakeholders.
  • Ensure compliance with donor requirements and facilitate donor audits as required.
3. Payroll and Benefits Administration:
  • Manage employee payroll, ensuring accurate calculation of salaries, deductions, and taxes.
  • Administer employee benefits programs, including health insurance, retirement plans, and leave management.
  • Maintain employee records, ensuring confidentiality and compliance with relevant regulations.
4. Accounts Receivable and Payable:
  • Process invoices, payments, and expense reimbursements in a timely manner.
  • Monitor accounts receivable, follow up on outstanding payments, and manage vendor relationships.
  • Ensure timely payment of invoices and proper documentation of transactions.
5. Bank and Cash Management:
  • Reconcile bank statements and maintain accurate cash records.
  • Process bank transactions, including deposits, withdrawals, and fund transfers.
  • Monitor cash flow and prepare cash flow forecasts to support efficient financial management.
6. Administration and Office Management:
  • Oversee general administrative tasks, including office supplies management, and maintenance of office equipment.
  • Maintain and update organizational files, records, and databases for easy accessibility and retrieval.
7. Audit, Compliance, and Policies:
  • Ensure adherence to organizational policies and procedures, as well as relevant legal and regulatory requirements.
  • Stay updated on accounting and financial best practices to maintain accurate and compliant financial records.
  • Develop and implement internal controls to safeguard organizational assets and prevent fraud.
  • Collaborate with auditors to ensure financial records are prepared and available for auditing.
  • Support project audits, addressing any financial and administrative queries.
8. Project Coordination and Reporting:
  • Support project coordination activities, including tracking project milestones, deliverables, and timelines.
  • Assist in the preparation of project progress reports, ensuring accuracy and timely submission.
9. Administrative Support:
  • Provide general administrative support, including managing correspondence, filing documents, and organizing meetings.
  • Assist in maintaining office supplies, equipment, and inventory.
  • Manage all aspects of the office administration.
Requirements:
  • Master's degree or an equivalent qualification in Accounting, Finance, Business Administration, or a related field.
  • Minimum of 3 years of experience working in finance and administration, with a focus on NGO financial management and project accounting.
  • Strong knowledge of accounting principles, practices, and financial regulations.
  • Proficiency in accounting software (e.g., Quick Books) and Google Workspace.
  • Experience in project financial management, including budgeting, tracking expenses, and reporting.
  • Excellent organizational and time management skills.
  • Attention to detail and accuracy in data entry and financial reporting.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Fluency in English and local languages.
Location: The position is based at The Children's Hospital, Ferozpur Road, Lahore, where we are constructing the University of Child Health Sciences.
