Job Summary:
The Office Secretary will provide comprehensive administrative support to the C-suite executives, ensuring seamless management of their schedules, coordinating meetings, and documenting minutes of key discussions.
Key Responsibilities:
- Calendar Management:
- Maintain and coordinate the calendars of C-suite executives (CEO, CFO, CCO, COO, etc.), scheduling meetings, appointments, and events.
- Proactively anticipate conflicts and reschedule as necessary to ensure optimal time management for executives.
- Prioritize and organize executive schedules based on urgency, importance, and availability.
- Meeting Coordination:
- Organize and align meetings with internal and external stakeholders, ensuring that all logistical details are managed (location, materials, attendees, etc.).
- Send meeting invitations, manage RSVPs, and provide timely reminders for upcoming meetings.
- Ensure all necessary documents and presentations are prepared and circulated ahead of time.
- Meeting Minutes & Documentation:
- Attend all key meetings involving C-suite executives and take accurate and detailed meeting minutes.
- Summarize discussions, decisions, and action items, and distribute minutes to relevant attendees.
- Ensure follow-up on action points from meetings, tracking progress and deadlines.
- Communication Support:
- Act as the point of contact between the C-suite executives and internal/external stakeholders, handling inquiries and correspondence efficiently.
- Screen incoming calls, emails, and messages, forwarding relevant information to the appropriate executive.
- Bachelor’s degree in Business Administration, Office Management, or a related field.
- Experience:
- 2-4 years of experience in administrative or secretarial roles, preferably supporting senior executives.
- Technical Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, Power Point, Outlook) and calendar management software.
- Experience with virtual meeting platforms such as Zoom, MS Teams, or Google Meet.
- Communication Skills:
- Excellent verbal and written communication skills with strong attention to detail.
Ability to commute/relocate:
- Karachi: Reliably commute or planning to relocate before starting work (Required)
