Job Overview
We are seeking a detail-oriented and proactive Operations Support Specialist to assist with the seamless execution of operational tasks, including recruitment support. The ideal candidate will have strong organizational skills and the ability to handle multiple responsibilities, from administrative duties to supporting the hiring process. You will play a key role in ensuring operational efficiency across the business, collaborating closely with various teams.
Key Responsibilities
Coordinate in Operational Activities: Assist in the day-to-day operations by coordinating between departments (e.g., sales, customer service, logistics, finance, administration) to ensure timely task completion.
Recruitment Support:
Headhunting: Proactively source and identify potential candidates for various roles through platforms like Linked In, job boards, and recruitment databases.
Screening and Shortlisting: Review incoming CVs, conduct preliminary screenings, and shortlist qualified candidates based on job requirements.
Interview Coordination: Arrange interviews with shortlisted candidates, liaising with hiring managers and HR to schedule meetings.
Data Management: Maintain and update operational and recruitment databases, track performance metrics, and generate reports for the management team.
Process Improvement: Identify inefficiencies in operational processes and suggest improvements to enhance productivity.
Vendor & Client Communication: Communicate with external vendors, suppliers, and clients to resolve operational issues and ensure smooth collaboration.
Documentation & Reporting: Prepare and manage necessary documentation, including operational guidelines, invoices, contracts, performance reports, and recruitment-related files.
Assist with Project Management: Collaborate with project teams to monitor timelines and deliverables, ensuring adherence to schedules.
Inventory and Supply Chain Management: Monitor inventory levels, track orders, and coordinate with supply chain teams to ensure the availability of resources.
Administrative Support: Handle routine administrative tasks, such as scheduling meetings, handling correspondence, and maintaining operational records.
Dubai Company Portal and Profile Handling:
Manage and maintain the company’s profile with Developer Registration and Property Listing across various websites and portals, ensuring accurate and up-to-date profiles and compliance with company requirements.
Requirements
Education: Bachelor's degree in Business Administration, Operations Management, Human Resources, or a related field.
Experience: 1-3 years of experience in operations, administration, or support roles, including experience in recruitment processes.
Skills:
Excellent organizational and multitasking abilities.
Strong communication skills, both written and verbal.
Proficiency in Microsoft Office Suite (Excel, Word, Power Point) and project management software.
Ability to work collaboratively across departments.
Analytical mindset with problem-solving capabilities.
Attention to detail and ability to handle confidential information.
Preferred Qualifications:
Experience in recruitment processes, including headhunting, CV screening, and shortlisting candidates.
Knowledge of process improvement methodologies (e.g., Lean, Six Sigma).
Familiarity with CRM software or enterprise resource planning (ERP) systems.
Understanding of inventory management and supply chain principles.
