Qualifications:

• Bachelor’s degree in Supply Chain Management, Business Administration, Logistics, or a related field.
• Proven experience in supply chain, logistics, or inventory management (minimum 2-3 years preferred).
• Familiarity with ERP and supply chain management software (e.g., Odoo, SAP, Oracle, or similar platforms).
• Certification in Supply Chain Management (e.g., APICS CPIM or CSCP) is a plus.

Roles and Responsibilities:
1. Document Preparation
Prepare and upload all necessary documents for shipment arrangements, including bills of lading, packing lists, Certificates of Origin, and customs declarations for both inbound and outbound shipments.
2. Negotiation
Negotiate rates and terms with logistics companies, shipping companies, and freight forwarders to secure the best market rates for shipping services.
3. Shipment Clearance
Handle the clearance of shipments through customs and other regulatory bodies, ensuring compliance with all relevant laws and regulations.
4. Shipment Tracking and Monitoring
Track and monitor shipments to ensure timely delivery. Utilize tracking systems and promptly address any delays or issues.
5. Communication
Maintain regular communication with the purchase and sales departments to provide updates on shipment status and location, ensuring all stakeholders are informed of any changes.
6. Invoice Management
Forward shipment invoices to the accounts department for payment processing. Follow up on invoice status and resolve any discrepancies.
7. Reporting
Develop and maintain reports on cargo movements and operational logistics issues. Provide insights and analysis to improve supply chain efficiency.
8. Customer Updates
Update customers on the status of their shipments, providing timely information on estimated delivery times and any potential delays.
9. Order Confirmation and Shipment Tracking Process
a. Order Confirmation:
Receive and review customer orders via email.
Generate and confirm Purchase Orders (PO) and Sales Orders (SO) in the Odoo system.
Send sales order confirmations to customers.
b. Shipment Tracking:
Track shipments using online tools and updates from agents. Monitor the status of vessel and courier deliveries.
10. System and Tools Management
Manage and track shipments using available systems and tools, including Excel spreadsheets for tracking order and shipment status.
11. Overall Responsibility
All roles and responsibilities related to the Supply Chain and Logistics department fall under your direct responsibility.
