Job Description:
1. Handles all typing, filing, faxing requirements of the Finance Manager.
2. Logs and distributes the following accounting related documents:
a) Incoming Reports from branches
b) Checks for payment and for deposit to bank
3. Responsible and accountable for issuance of Provisional Receipts. Must check the last used PR and OR before issuance.
4. Responsible for all collections and ensure that same will be deposited intact the following day.
5. Prepares Daily Cash Position Report and List of Post-dated Checks.
6. Responsible for the preparation of checks for duly approved disbursement voucher; makes sure the checks are signed by the authorized signatories and released on time.
7. Handles / accountable for all unreleased and unissued checks.
8. Handles Petty Cash Fund of the company and prepares Cash Count Report.
9. Encash cheques for replenishment of petty cash fund.
10. Responsible for issuance of cheques, receipts and invoices in accordance with QI 2.05 Suppliers Release of Payment/Queries/Submission of Original Invoices.
11. Encoding of Official Receipts (HO & Branches).
12. Prepares monthly Listing for submission to SSS, Philhealth and Pagibig Fund.
13. Monitors Employees’ Medicine and Dental Allowance card and checks if reimbursement has reached the maximum amount allowed.
14. Files and monitors renewal of rental contracts, vehicle registration and other insurances.
15. Prepares Telegraphic Transfer Form and Foreign Exchange Transaction Form for payment to foreign suppliers. Maintains Telegraphic Transfer Form file complete with supporting documents.
16. Report any discrepancy / irregularities on assigned job responsibilities using Non-Compliance Report Form.
17. Comply with all company rules and regulations and Quality Manual.
18. Performs other work that may be assigned by the Finance Manager.
