Admin Assistant/Secretary

As an Administrative Assistant at Outright Wholesale Consumer Goods Trading, you will play a crucial role in ensuring the smooth and efficient functioning of our office. You will be responsible for a variety of administrative tasks that will contribute to the overall success of our team and organization. Key Responsibilities:
General Office Support:
Answer and direct phone calls, taking messages when necessary.
Greet and assist visitors to the office.
Maintain a clean and organized office environment.
Calendar Management:
Schedule appointments, meetings, and conference calls for team members.
Ensure that all appointments are accurately entered into the calendar system.
Document Management:
Assist in the creation, formatting, and proofreading of documents, reports, and presentations.
Organize and maintain physical and digital files.
Communication:
Manage and respond to emails and correspondence on behalf of team members.
Assist in drafting and editing internal and external communications.
Travel Coordination:
Arrange travel plans, including booking flights, accommodations, and transportation as needed.
Prepare travel itineraries and necessary documentation.
Expense Reporting:
Track and manage expenses, ensuring accuracy and compliance with company policies.
Prepare expense reports for team members.
Meeting Support:
Coordinate and prepare materials for meetings, including agendas and presentations.
Take meeting minutes and distribute them to relevant parties.
Vendor and Supplier Relations:
Maintain relationships with vendors and suppliers.
Assist in ordering office supplies and equipment.
Special Projects:
Assist with ad-hoc projects and tasks as assigned by management.
Qualifications:
High school diploma or equivalent; additional education or certification is a plus.
Proven experience as an administrative assistant or in a similar role.
Proficiency in Microsoft Office Suite (Word, Excel, Power Point, Outlook).
Strong organizational and time-management skills.
Excellent verbal and written communication skills.
Ability to handle sensitive and confidential information with discretion.
Attention to detail and accuracy.
Adaptability and the ability to work in a fast-paced environment.
Positive attitude and a strong work ethic.
Job Type: Full-time
Pay: Php13,000.00 - Php14,000.00 per month
